JOB DESCRIPTION
Job Summary: The Home Health Office Assistant is responsible for supporting the daily operations of the Home Health department. This position is responsible for developing and maintaining the Home Health Aide schedules, ensuring timely and efficient coverage for client needs. The role also includes performing essential office and clerical duties, such as managing communications, maintaining accurate records, and assisting with the preparation of necessary documentation. Additionally, this role is responsible for processing patient information and coordinating with healthcare providers. Billing responsibilities are also a key aspect of the role, requiring attention to authorizations, invoicing, collections, and payment posting to ensure accurate financial records and timely reimbursement.

A. Reports to: Home Health Director
B. Internal Relationships: RN Case Managers, Home Health Aides (HHAs)
C. External Contacts: Clients & Family Members, Visitors, Other Community Providers
Hours of Work:
Monday - Friday, 8:00 am to 4:30 pm.

Principle Job Responsibilities:
Responsibility: Complete Home Health Aide schedule.
- Accurately complete HHA two-week schedule at least one week in advance.
- Modifies the schedule as needed.
- Communicates schedule changes to client or family and staff.
- Notifies RN Case Manager of scheduling conflicts or changes.
- Initiate Missed Visit Report for all missed visits and give to the RN Case Manager.
- Copies HHA Care Plans for staff when needed.
Responsibility: Clerical duties.
- Maintain adequate office supplies and forms.
- Complete Admission and HHA folders.
- Answer telephone, direct calls to appropriate destination or take messages in a professional and friendly manner.
- Miscellaneous typing as needed.
- Filing as needed or requested.
- Faxing.
- Provide other clerical support to Director and RN Case Managers as needed.
Responsibility: Maintain client clinical record.
- File HHA progress notes.
- File other documentation at the request of the RN Case Manager.
- Thin charts as needed.
- Fax physician orders and track the return of the orders.
Responsibility: Accounts Receivable.
- Authorizations will be reviewed for accuracy and submitted prior to services starting.
- Generate and send accurate invoices to carriers, clients, or their responsible parties for services provided.
- Payments and remits should be posted with notes in the system to ensure accurate reporting.
- Reconcile client accounts on a regular basis to ensure accuracy and resolve any discrepancies or outstanding balances.
- Monitor accounts receivable aging reports and follow up on overdue payments, utilizing appropriate collection strategies and maintaining professional and respectful communication with carriers, clients or responsible parties.
- Respond to resident inquiries regarding billing, payment, and account details in a timely and courteous manner, providing clarification and resolving any issues or concerns.
- Maintain accurate and up-to-date records of client accounts, payments, adjustments, and communication, ensuring compliance with internal policies and accounting standards.
- Other duties as assigned.
