Summary of the Role:
BEPC is seeking a highly motivated Associate Contracts Manager - Outgoing MTA Program to join our client’s site in South San Francisco, CA. This role will support the Research Contracts Group by managing the full lifecycle of a high-volume Outgoing Material Transfer Agreement (MTA) program under the supervision of the Research Contracts Manager. The Associate Contracts Manager will collaborate with research scientists, leadership, legal counsel, academic institutions, technology transfer offices, and internal operations teams while ensuring timely processing, execution, tracking, and administration of MTAs. This position requires strong organizational skills, scientific literacy, attention to detail, and the ability to thrive in a fast-paced environment managing multiple priorities simultaneously.
Summary of Duties and Responsibilities:
- Process the complete lifecycle of the Outgoing Material Transfer Agreement (MTA) Program, managing an active queue of approximately 70–110 MTAs at any given time.
- Communicate MTA status and key information with internal stakeholders, leadership, Legal, technology transfer offices, and academic scientists.
- Manage and prioritize a high volume of daily email correspondence while maintaining responsiveness, accuracy, and professionalism.
- Demonstrate understanding of scientific nomenclature related to laboratory reagents and genetically modified animal models, including antibodies, plasmids, DNA, genetically modified mice, progeny, derivatives, and similar materials.
- Apply a basic understanding of legal agreement structures and concepts, including amendments, obligations, and contracting parties.
- Organize and process signatures for Outgoing Material Transfer Agreements following approved procedures.
- Complete post-execution activities, including:
- Sending fully executed agreements to counterparties.
- Filing agreements with Legal Records.
- Maintaining agreement records in databases.
- Initiating shipments.
- Coordinating required import/export documentation.
- Resolving shipping-related issues.
- Track agreement status and maintain accurate real-time records within the MTA Database, including party names, effective dates, and expiration dates.
- Perform general administrative responsibilities, including:
- Filing agreements with Legal Records.
- Coordinating meetings.
- Data entry into the MTA Database.
Qualifications:
- Education: Bachelor's degree in a scientific discipline.
- 2–4 years of relevant work experience.
- Experience drafting and managing agreements.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to follow established processes while independently proposing solutions to problems.
- Excellent interpersonal, verbal, and written communication skills.
- Excellent organizational, prioritization, and time management skills.
- Detail-oriented with a strong work ethic, reliability, and team-oriented attitude.
- Comfortable working with databases and enterprise business systems.
- Proficient with Microsoft Office (Word, Excel, etc.) and Google Workspace applications (Mail, Calendar, Documents, etc.).
- Demonstrated critical thinking skills with the ability to independently solve problems and recommend solutions, even when they moderately deviate from existing protocols.
Preferred Qualifications:
- Legal education or experience.
- Previous experience in a pharmaceutical, biotechnology, and/or university environment.
