Job Description
Title: Accounts Payable & Accounts Receivable Manager
Reports to: President
Job Purpose:
Responsible for all areas relating to financial reporting, including maintenance of the general ledger, accounts payable, and accounts receivable. Manages monthly close processes and posting of month-end financial information.
Key Responsibilities:
• Manage cash application, ensuring all customer payments are accurately applied and reconciling any discrepancies between payments and invoices. Record bank deposits.
• Create customer credits and adjustments and maintain a monthly log of all adjustments processed.
• Contact customers to ensure timely collection of outstanding balances, including issuing statements and reprinting unpaid invoices as needed.
• Record vendor invoices and reconcile vendor statements.
• Process vendor payments, including wire transfers, and upload payment files for positive pay processing.
• Reconcile all cash accounts.
• Calculate and prepare monthly state sales tax filings.
• Provide internal IT support for Microsoft Office applications, email, and system backups; serve as primary liaison with external IT provider for system or equipment issues.
• Perform month-end and year-end close procedures, including generation and storage of required financial reports.
• Provide W-9 documentation to customers and vendors as needed.
• Maintain records and process weekly 401(k) contributions, including employee deferrals, employer match, and loan repayments.
Requirements:
• Accounting / bookkeeping experience including AP, AR, general ledger, and financial reporting
• Strong computer and business software skills, including Microsoft Excel and Word (ERP experience such as Macola or Synergy a plus)
• Ability to multitask, work under pressure, and meet deadlines
Salary : $60,000 - $70,000
