POSITION SUMMARY: Events/Rentals Coordinator will have scheduled desk hours, cleaning, and some supervisor hours for. Responsible for booking, coordinating and executing all events, rentals, sports leagues, and associated recreation programs for the Bear River Recreation Center. Directs and organizes all activities of the events, rentals, and programs including, but not limited to the Recreation Center and its associated amenities, including a gymnasium, kitchen, sports complex, to maintain high standards of food and beverage quality, service and marketing to maximize profits through outstanding customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Supports Bear River Recreation Center & Sports Complex by planning and contracting the customer’s program/event, managing the success of the program/event and measuring our service effectiveness.
  • Coordinates meetings, events, and group inquiries, responding to guest requests and seeking new business opportunities. Actively engages with the local community and addresses all business inquiries.
  • Assist with planning, overseeing, implementing recreational programs/activities, including sport leagues and tournaments, enrichment classes, special events and other activities as needed.
  • Assist in enforcing BRRC policies and regulations.
  • Assist in keeping accurate records of recreation costs, revenues, expenditures, etc.
  • Maintain a master calendar for scheduling all BRRC field usage, including practices, games, and tournaments for external organizations and the BRB recreational league.
  • Coordinate field/facility preparation and maintenance with the Recreation Center Maintenance Lead, Guest/Facility Services Lead, and the Recreation Center Manager. Manage team rosters, game schedules, and practice schedules.
  • Post/update team rosters, game and league schedules on the BRRC website.
  • Provide daily reports, incident reports, waiver release forms and rosters.
  • Provides general information to the community about BRRC programming and options.
  • Acts as customer liaison with Bear River Casino Resort, Facilities, Family Entertainment Center, Marketing and Hotel Operations during customer events/programs ensuring daily needs are met and overall customer satisfaction.
  • Utilizes the event management booking systems and maintains daily and weekly communications to all departments about functions or activities within the premises or at our partner facilities available.
  • Conducts venue tours and site inspections for potential customers.
  • Maintains detailed and meticulously organized event and rental contracts/files.
  • Actively manage business bookings, record denials and make network referrals.
  • Ensuring all inquiries are recorded accurately in event management software.
  • Assist in the preparation and monitoring of sales, department and budgetary reports when required.
  • Creates customer correspondence as required-sales agreements, proposals, and thank you letters.
  • Other duties as assigned by the Manager.

AUTHORITY/SUPERVISORY RESPONSIBILITIES: This position will direct RC Guest Services/Facility Attendant staff when setting up for and during all events.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION/EXPERIENCE:

  • Must be twenty-one (21) years of age.
  • Must have a High School diploma or its equivalent.
  • Must have 1 /years of related experience in point of sales.
  • Must have 2 /years of related experience in recreation and fitness.
  • Minimum of 5 / years of related experience administratively and/or in an events venue facility as Supervisor or Manager that is Catering, Event Management, Convention Center/Entertainment or Food Service related.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Shall possess a valid driver's license and be insurable by agencies insurance.
  • Must provide or obtain the Servsafe Food Alcohol Permit hire and maintain during employment.
  • Must provide or obtain CPR & First Aid certification within three (3) months of hire.

COMPUTER OPERATIONS

  • Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
  • Experience and proficient in business software/computer programs including Excel, Word: Capability to learn to execute and navigate with Sales Agreements, Proposals, Property Management Systems and POS.

LANGUAGE SKILLS:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.

MATHEMATICAL SKILLS:

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES:

  • Ability to operate standard office equipment (copier, fax, etc.).
  • Must be flexible and available to cover shifts.
  • Must be able to work with Native American people and be sensitive to their culture.
  • Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.
  • Participate in proactive team efforts of Bear River Band of the Rohnerville Rancheria.
  • Provide leadership to others through example and sharing of knowledge/skill.
  • Ability to communicate effectively both orally and in writing, including the ability to interpret technical information.
  • Ability to prioritize and multi-task and remain calm under stress
  • Ability to anticipate and respect the needs and interests of others.
  • Ability to maintain harmonious relations among staff and promote efficiency.
  • Able to use independent judgment in routine and non-routine circumstances, and in critical situations.
  • Must be able to work all shifts, weekends, holidays & special events as needed.

MATERIALS AND EQUIPMENT DIRECTLY USED:

Computer control systems, ladders, and associated safety equipment, personal computers, two- way radios. Materials: Adhesives, cleaners, fuels, degreasers, grease, oils, other materials and chemicals associated with facility custodial maintenance as needed.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. Work is performed in an outdoor and indoor environment with exposure to a variety of adverse weather conditions and temperatures, slippery/uneven surfaces, electricity, noise, vibrations, dust, fumes,; public contact, working alone and as a member of a team; handling emergency situations and office work.

Physical activities include lifting and carrying (over 50lbs), pulling, pushing, reaching, walking, standing, sitting, crawling, kneeling, digging, repeated bending, climbing using both arms and legs, use of hands and fingers, hearing, verbally communicating, and operating motorized equipment. This position also requires sitting at a desk in close proximity to a computer terminal. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
