Our client, a global leader in sustainable engineering located in downtown Austin, is seeking a professional and service‑oriented Front Desk Receptionist to provide full‑time reception and office operations support in a fast‑paced professional office environment. This role serves as the first point of contact for visitors, clients, and vendors while supporting daily office operations, meetings, safety initiatives, and administrative needs. The position partners closely with internal teams, external service providers, and property management to ensure a well‑organized, welcoming, and secure workplace. This is a fully onsite, 1 month contract role within the hours of 8:30-5. Candidates ideally can start ASAP!
Job Responsibilities:
Provide full‑time front desk coverage with a professional, welcoming demeanor and maintain an organized reception area
Greet and assist all visitors; manage visitor sign‑in/sign‑out logs, badges, and required Health & Safety documentation
Answer, screen, and direct incoming calls in a courteous and professional manner
Maintain office security protocols and support overall workplace safety efforts
Coordinate meetings end‑to‑end (client meetings, lunch and learns, and team events), including room scheduling, calendar invitations, A/V setup, seating arrangements, and catering
Reset conference rooms and huddle spaces after meetings and ensure all meeting spaces are ready daily
Support office maintenance and repair requests by coordinating with property management
Handle incoming and outgoing mail, package distribution, overnight shipments, and date‑stamp all incoming mail
Maintain filing systems and support general clerical and administrative tasks as needed
Assist with new hire onboarding activities
Support Office Safety & Environment Coordinators as needed
Coordinate with external vendors and service providers in partnership with the Administrative Manager
Perform additional duties as assigned to support overall office operations
Qualifications:
High School Diploma or equivalent
Minimum of five (5) years of experience working in a professional office environment
Strong written and verbal communication skills
Demonstrated ability to prioritize multiple tasks, provide timely follow‑up, and maintain attention to detail
Intermediate to advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
Working knowledge of office technology and applications, including Teams, Adobe, email, calendars, spreadsheets, databases, and internet navigation
Positive, energetic attitude and a customer‑service mindset
Ability to work in a typical office environment, including extended periods of sedentary work
