What are the responsibilities and job description for the Senior Account Manager position at Architecture Co.?
The ideal candidate will be a proactive leader and have a proven track record in improving, creating, and implementing accounting procedures and processes. This is a key position working with the Principals, Administrator, and Project Managers to improve the financial performance of the firm. The ideal candidate will have the ability to identify problem areas and take on special projects to address those problems appropriately, while actively seeing and implementing ways to improve, streamline, and automate the current and upcoming accounting processes.

Responsibilities:
- All phases of accounting functions, including authorizing and administering accounting methods and procedures, and supervision of AP Specialist;
- Prepares monthly statement of financial affairs for Principals;
- Assist the CEO in ongoing efforts with Project Managers to control project financial related activities including current and timely project fee billings and collections, project direct expense recording, allocation and reimbursement, project financial feasibility studies and analysis, and calculation and review of budgeted versus actual time and dollars for project profitability control;
- Responsible for billing and the coordination of the billing process with associated administration staff on a monthly basis;
- Prepares monthly calculations of work in progress;
- Continually audits accounts and records;
- Monitors the firm’s overhead expenditures on a quarterly basis and reports steps taken to maintain them at a level required for effective operations;
- Monitors the firm’s cash position daily to ensure debt is minimized through timely billings, collections, bank deposits, and cost control;
- Develops a strategic plan to monitor the firm’s financial results against internal and external benchmarks;
- Prepares cash flow summary for the upcoming 12 months, reviewed and audited quarterly;
- Establish, coordinates, prepares and monitors operating budget, with an audit and analysis at six months;
- Coordinate funding for acquisitions of new investments as well as monitor the cash position of existing investments to ensure that distributions are made on a timely basis;
- Provide financial analysis to Principals and Administrator on current holdings of real estate;
- Prepares period-end and year-end financial statements, and develops a written summary of major variances from the plan and opportunities for improvement;
- Compiles, interprets and presents information, and reports, to Principals to help define and measure firm’s Fiscal Year End plan of action, or “End Game”;
- Act as interface with outside CPA firm with regard to providing financial data necessary to prepare corporate tax returns;
- Reviews all lease renewals and negotiations with regard and not limited to: office machines, auto policies, key man policies, cell phone contract.
- Cross train with Office Administrator on payroll, payroll taxes, 401(k) and HSA funding;
- Knowledge of CA labor laws;
- HR experience a plus;
- Back up the Office Administrator role as needed;
- Renews all State and City Business Licenses annually.
Requirements:
Bachelor’s degree in accounting or equivalent, with CPA/MBA a plus.
Minimum of 10 years’ experience.
Excellent written and verbal communication and supervisory skills.
Hands on knowledge of A/E project accounting software preferred.
Advanced Excel skills and proficient with Microsoft Office Suites.
Ajera/Deltek accounting software knowledge a plus.
Excellent customer service skills with outside clients and co-workers.
This is a 40 hour in office position.
