Position Summary
We are seeking an experienced Project Coordinator to join our team at our Irvine, CA office. This role requires a minimum of 5 years of experience in commercial or ground-up construction and strong knowledge of project billings. The Project Coordinator will support multiple project managers, engineers, and superintendents while managing project documentation from award through closeout.
Key Responsibilities
Project Setup & Documentation
Set up projects upon award, including job folders, insurance certificates (client/landlord), and budgets in Procore.
Maintain accurate, organized, and up-to-date project documentation.
Issue and manage purchase orders (POs), subcontracts, subcontractor change orders, and owner change orders.
Billing & Financial Administration
Code project invoices accurately.
Enter Schedules of Values (SOVs) into Procore as provided by the Project Manager.
Compile and submit owner billings using Procore and/or client proprietary software.
Coordinate billing communications with subcontractors and vendors.
Collect subcontractor invoices and conditional lien waivers.
Generate owner billing drafts for internal review and submit finalized pay applications with required backup documentation.
Project Coordination & Reporting
Procure, track, and submit project closeout documents per client requirements.
Assist with permit documentation as directed.
Facilitate communication among subcontractors, vendors, and internal teams.
Support administrative project tasks, including submittals, RFIs, meeting minutes, and weekly client reports (photos, schedules, logs, and status updates).
Assist with compiling and processing change order costs in Procore and client systems.
Required Qualifications
Minimum 4–5 years of experience in commercial or ground-up construction.
Prior experience with construction billings and pay applications.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience using Procore or similar construction management platforms required.
Strong organizational, communication, and time-management skills.
Ability to work onsite in the Irvine office and attend weekly staff meetings.
Reporting Structure
This position reports to the VP of Internal Operations, Project Manager, Project Engineer, and/or Project Executive, depending on project assignments.
