Financial organization located in Downtown Manhattan is seeking a Legal Admin / Receptionist. Job Description: - Prepare, set up, and restore hearing rooms for onsite proceedings, ensuring exhibits are delivered to conference rooms as needed. - Welcome hearing participants and deliver a high standard of customer service. - Assist participants by answering inquiries, registering guests in the building visitor system, and directing them to assigned hearing rooms. - Ensure hearings are properly recorded and that recordings are uploaded to the appropriate case files. - Coordinate the shipment and receipt of digital recording equipment for offsite hearings. - Receive, distribute, and send hearing exhibits to arbitrators as required. - Receive incoming mail, scan and distribute correspondence, and prepare outgoing letters and attachments for mailing as directed. - Prepare case files for offsite storage and coordinate vendor pickup. - Perform Case Coordinator, Senior Case Coordinator, and Case Specialist responsibilities as needed. - Complete additional ad hoc case administration tasks as assigned. - Support overall office operations by maintaining supplies and coordinating with equipment vendors.
