Real Estate Operations Specialist
Role Overview
We are seeking a highly organized and detail-oriented professional to support the operational needs of our Real Estate Strategy (RES) team. The ideal candidate will manage scheduling, documentation, transaction coordination, and compliance activities. This role is essential to ensuring smooth real estate operations across our portfolio.
Key ResponsibilitiesRent & Payment ProcessingTransaction Lifecycle Support
- Assist in end-to-end execution of acquisitions, dispositions, and leasing.
- Support due diligence activities and preparation of closing documents.
- Contribute to detailed lease reviews to ensure accuracy and compliance.
Project Management
- Coordinate with internal teams (Legal, Finance, Site Ops, Design & Construction) and external partners (brokers, landlords, tenants).
- Maintain and update project trackers to ensure all timelines and milestones are met.
- Support project activities and cross-functional workflow management.
Lease Compliance & Governance
- Review and monitor critical lease documents.
- Ensure compliance with disclosures, insurance requirements, and move-out conditions.
Data & Records Management
- Maintain an organized, accurate real estate portfolio.
- Track key dates such as renewals, expirations, and option windows.
- Handle office tasks including filing, data entry, and managing correspondence.
Property & Facilities Coordination
- Support coordination efforts related to property management and project agreements.
Skills & Expertise
- Communication: Strong verbal and written communication; professional articulation and interpersonal skills.
- Collaboration: Ability to work effectively across teams and levels; high emotional intelligence.
- Strategic Thinking: Forward-looking, proactive, adaptable in fast-moving environments.
- Project Management: Experience leading or coordinating initiatives with strong attention to detail.
- Technical Proficiency: MS Office and Google Workspace; familiarity with Lease Harbor and MyBuy is a plus.
Qualifications
- 5–10 years of experience in a corporate or administrative role (Real Estate, Legal, or Finance preferred).
- Bachelor’s degree in Real Estate, Business Administration, or related field OR equivalent experience.
- Ability to manage processes and relationships within matrixed, cross-functional environments.
