Job Summary
The Project Coordinator supports project management teams in the planning, documentation, and execution of mechanical, electrical, and plumbing (MEP) construction projects. This role ensures the timely flow of information between the field, office, vendors, and clients—supporting operational efficiency, cost control, and quality delivery across all active projects.
Key Responsibilities Include:(But not limited to the following)
Ø Assist Project Managers and Superintendents in coordinating day-to-day project activities and schedules.
Ø Prepare, track, and manage project documentation including RFIs, submittals, meeting minutes, and change orders.
Ø Maintain accurate and organized project files within company systems (e.g., Procore, CMiC, or equivalent ERP).
Ø Support project cost tracking, invoice processing, and purchase order management.
Ø Monitor material orders and delivery schedules in coordination with procurement and field teams.
Ø Facilitate internal and external communication between field operations, subcontractors, and clients.
Ø Prepare project status reports and distribute weekly updates to leadership as required.
Ø Assist with job closeout documentation, warranty tracking, and project archiving.
Ø Partner with Payroll and HRIS teams as needed for project-specific labor or timekeeping reconciliations.
Ø Ensure adherence to company safety, quality, and compliance standards.
Qualifications
Ø Education: High School Diploma or Associate’s, Engineering, Business, or related field preferred; equivalent experience accepted.
Ø Experience: 0–3 years of progressive experience in project coordination within the construction, MEP, or general contracting industry.
Ø Technical Skills:
o Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams).
o Experience using construction management software (Procore, CMiC, Bluebeam, or similar).
o Familiarity with reading and understanding construction drawings and specifications.
Ø Competencies:
o Strong organizational and time-management skills with the ability to manage multiple projects simultaneously.
o Excellent written and verbal communication skills.
o High attention to detail and commitment to accuracy.
o Collaborative mindset and customer service orientation.
o Ability to adapt in a fast-paced, deadline-driven environment.
Ø Preferred: Knowledge of mechanical, electrical, and plumbing systems; exposure to LEAN construction principles or OSHA 10/30 certification.
