PRIMARY PURPOSE:
Effect the efficient operation of office routines associated with a busy, productive and smoothly run human resources office, so that it can play its effective part in the education process.
QUALIFICATIONS:
Minimum Education/Certification:
A high school diploma or equivalent
Typing test >40 WPM required
Special Knowledge/Skills:
Excellent communication, time management and interpersonal skills
Excellent telephone skills and etiquette
Ability to communicate effectively (verbally and written)
Thorough knowledge of Microsoft Office
Proficient skills in typing, word processing, data entry, scanning and file maintenance
Proficient in computational math skills
Ability to cross train and learn other areas of Human Resources
Ability to multi-task and prioritize workload so efficiency is maximized and deadlines are met
Possess a working knowledge of Worker’s Compensation and FML
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching
Lifting: Occasional lifting and carrying (less than 50 pounds)
Environment: Work prolonged or irregular hours; frequent interruptions; Must maintain professional demeanor under stress; Must have problem solving skills; minimal district-wide and out of district travel
Regular attendance is an essential function.
Minimum Experience:
Three or more years of clerical experience in Human Resources and/or Payroll is preferred.
MAJOR RESPONSIBILITIES AND DUTIES:
- Process substitute teacher applications and review required documents.
- Expeditiously process and onboard substitute teachers.
- Enter all new employee data in the personnel management system including position, salary, employee demographics.
- Monitor and make approved changes for current employees in the personnel management system including position, salary, and employee demographics.
- Maintain substitute teacher applicant folders and files.
- Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors.
- Explain HR policies and practices to employees as appropriate.
- Provide excellent and timely service to all customers.
- Provide salary figures for new hires and payoff amounts for resigning staff
- Process all substitute teacher new hire and resignation paperwork.
- Scan and verify documents in the district’s Laserfiche system.
- Process fingerprinting reimbursements.
- Collect, retain and verify Service Records from other districts, previous work history and other required documents related to employment.
- Verify previous work history and prepare salary paperwork for supervisor.
- Verify I-9 documentation for all newly hired employees.
- Assist current employees with questions regarding the resignation process.
- Assist prospective employees with questions regarding the application and onboarding process.
- Complete Verification of Employment from outside sources.
- Greet visitors and assist employees and applicants to complete applications and required paperwork.
- Attend job fairs and recruit for paraprofessional positions.
- Assist new hires with EduHero including retrieving passwords and adding to the list and verifying information
- Serve as a backup for various positions within Human Resources.
- Maintain confidentiality.
- Follow district safety protocols and emergency procedures.
- Comply with state, district, and school regulations and policies for classroom teachers including the Texas Educator Code of Ethics.
- Perform other duties as assigned.
