SUMMARY/OBJECTIVE
We are seeking a highly organized and proactive Transfer Agent to join our real estate management team. As the central communication and process coordinator, the Transfer Agent ensures that all complex residential and commercial property transactions—including title transfers, lease renewals, and financial disbursements—are executed accurately, efficiently, and in accordance with established deadlines.
RESPONSIBILITIES
- Oversee and execute all documentation related to purchases, leases, lease renewals, sub-leasing, title transfers, refinance submissions, bank questionnaires, and sub-lease requests, ensuring meticulous accuracy and compliance with deadlines.
- Review application packages and follow up with prospective tenants, buyers, brokers, attorneys, board members, and financial institutions to promptly complete outstanding documentation.
- Provide strategic guidance to the Board members by recommending alternative information channels or resources to support applicant evaluation.
- Serve as the communication hub among internal and external stakeholders—including Account Executives, Assistant Executives, superintendents, leasing staff, and legal counsel—responding to inquiries and updating all parties on past, current, and forthcoming transactions.
- Coordinate and schedule interviews for prospective tenants and buyers with the Board or property leadership.
- Manage the closing process by finalizing transaction files and forwarding completed documentation to appropriate departments for archiving or further action.
- Contribute flexibly to additional projects or duties as necessary to support operational needs.
QUALIFICATIONS
· Bachelor’s degree or equivalent experience in real estate closings or paralegal studies required.
· Certification in paralegal studies is strongly preferred.
· Proficiency in Microsoft Word, Excel, and Outlook is essential; prior experience with MRI property management software is a plus.
· Minimum of four years’ experience in customer service, real estate operations, or hospitality environments; real estate transaction coordination experience is advantageous.
· Notary Public license preferred or willingness to obtain and maintain licensure.
· Excellent multi-tasking ability, with strong time-management and attention to detail ensuring adherence to deadlines in a fast-paced environment.
· Demonstrated ability to foster strong relationships with demanding stakeholders while maintaining professionalism under pressure.
· Exceptional written, verbal, and interpersonal communication skills, with the ability to engage meaningfully with leadership, clients, and team members across all levels.
· Self-motivated, independent team player who excels in a collegial and collaborative organizational culture.
Salary Range: $75000.00 - $95000.00 per year
Salary commensurate with experience
