Executive Assistant to the President
As the Executive Assistant, you will work directly with our President and partner closely with our executive and management team. You will function as an extension of him and own various projects ranging from solving operational issues, driving alignment and execution on critical initiatives (both business and personal), increasing his efficiency by helping him prioritize his most important meetings and communications, making decisions on his behalf, and keeping our teams accountable. You will foster trust and credibility with the rest of the team and identify and remove bottlenecks for him and partner closely to scale Allied's business.
You will have a unique opportunity to view and understand our company's day-to-day challenges and priorities from the vantage point of the President. You will be exposed to every function at Allied and learn how to execute big and small initiatives and navigate the intricacies of a complex business. We are creating a new position, so this role is expected to evolve/change over time as we learn more,
Responsibilities:
- Manage the President's ever-changing Outlook calendar and extensive scheduling and prioritize his time and schedule.
- Represent the President in meetings, by email, and phone calls with internal and external stakeholders.
- Create a predictable cadence to meetings, deliverables and expectations for the President and team.
- Consolidate discretionary budget requests for review and approval.
- Draft letters, emails, reports, and other correspondence on behalf of the President.
- Supports the President in meetings by taking notes and assuming responsibility for completing action items.
- Acts as the liaison between the President and other team members, clients, and stakeholders to ensure consistent communication, involvement, or decision-making at proper time.
- Manage ad-hoc cross-group initiatives, deliver status reports, coordinate schedules and plans, and providing meeting support by collaborating with key stakeholders as appropriate.
- Ensures timely and effective completion of projects and initiatives of the President.
- Coordinate personal appointments, travel, and events.
- Manage travel arrangements and itineraries with thoroughness and accuracy for President and family. Prepare and organize background materials in advance for the trip including anticipatory action to avoid delays and issues.
- Coordinate with various consultants and professionals as it relates to the President's business and personal affairs.
- Follow up with appropriate staff to ensure requests and correspondence are responded to on a timely basis.
- Creates and maintains systems and processes to streamline executive office operations.
- Maintains accurate, confidential files and data systems and records.

Preferred Qualifications:
- 5 years of relevant experience required
- Highly proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook) and experience in Teams and SharePoint.
- Ability to manage multiple projects in a dynamic environment, and to assess highest order business/personal needs, prioritize accordingly and escalate appropriately.
- Ability to create structure in complex, time-sensitive and at times ambiguous situations; flexibility to manage directional change with the ability to juggle moving priorities to ensure team success.
- Flexible hours as dictated by the needs of the CEO and business for projects and meetings
- Ability to Communicate effectively and professionally
Salary range: $90,000.00 - $125,000.00 per year.
Salary commensurate with experience
