Overview We are seeking a highly organized and proactive Practice Manager/Administrator to oversee daily clinic operations. This role supports smooth patient flow, strong staff performance, and allows the physician to focus fully on clinical care. Responsibilities Operational Management Oversee day-to-day operations to ensure an efficient, patient-centered environment. Improve workflows, schedules, and operational systems. Ensure HIPAA compliance, documentation accuracy, and adherence to regulations. Manage vendors, supply ordering, and facility needs. Lead logistics planning to support clinic growth; must be willing to travel locally during business hours. Implement quality assurance and continuous quality improvement (CQI) processes. Assist with community outreach and mental health education initiatives. Financial Administration Oversee billing, insurance submissions, and payment tracking. Manage accounts payable, pay bills, and coordinate with accounting. Support budgeting, expense tracking, and financial reporting. Monitor revenue cycle performance and identify operational improvements. Staff Leadership & HR Supervise administrative/support staff, including scheduling and coaching. Assist with hiring, onboarding, and training. Lead staff communication, meetings, and workflow expectations. Help maintain a positive, collaborative, patient-focused environment. Physician Support Serve as the operational point of contact. Resolve day-to-day issues independently. Identify bottlenecks and implement solutions. Maintain the highest levels of professionalism, discretion, and confidentiality. Qualifications 3 years of office or practice management experience (healthcare preferred). Bachelor’s degree preferred (Business Administration, Healthcare Administration, Psychology, or related field). Bilingual in Spanish (preferred) Mental health or HR experience preferred but not required. Strong understanding of scheduling, billing, and workflow management. Excellent communication, leadership, and organizational skills. High integrity; must handle sensitive information and financial access responsibly. Proficiency with EHR/practice management software and Microsoft Office.
