Position Summary
The Procurement Specialist is responsible for sourcing, purchasing, and managing materials, equipment, supplies, and vendor relationships to support facility maintenance and operational projects. This role ensures cost-effective purchasing, timely delivery, contract compliance, and inventory management while maintaining high-quality standards and supporting company operational goals.
Key Responsibilities
- Source and procure maintenance supplies, equipment, tools, and subcontractor services
- Develop and maintain relationships with vendors and suppliers
- Request and evaluate bids, quotes, and proposals
- Negotiate pricing, contracts, and delivery schedules
- Create and process purchase orders and track order status
- Monitor inventory levels and coordinate replenishment needs
- Ensure compliance with company procurement policies and budget guidelines
- Maintain procurement records, vendor files, and purchasing documentation
- Coordinate with operations, project managers, and accounting departments
- Resolve vendor issues related to pricing, delivery, shortages, or quality concerns
- Analyze purchasing trends and identify cost-saving opportunities
- Assist with contract administration and vendor performance evaluations
- Support emergency and time-sensitive purchasing requests for facility operations
- Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, or related field preferred
- 2–5 years of procurement, purchasing, or supply chain experience
- Experience in facility maintenance, construction, HVAC, electrical, plumbing, or related industries preferred
- Strong negotiation and vendor management skills
- Knowledge of purchasing procedures and inventory management
- Proficiency in Microsoft Office Suite, especially Excel
- Experience using procurement or ERP software systems preferred
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Ability to work in a fast-paced environment and meet deadlines
- Detail-oriented with strong analytical and problem-solving skills
- Knowledge of budgeting and cost control practices
- Valid driver’s license may be required
Preferred Qualifications
- Experience working with maintenance vendors and subcontractors
- Familiarity with OSHA and facility compliance standards
- Bilingual English/Spanish is a plus
- Experience with invoice reconciliation and accounts payable coordination
Salary : $55,000 - $75,000
