Job Description
The Material Coordinator oversees the end-to-end tracking and availability of materials to support production and project schedules. This role screens bills of material (BOMs) and MRP data to identify shortages early, coordinates with suppliers and internal teams to resolve issues, and maintains clear, proactive communication on material status, risks, and next steps. The Material Coordinator plays a key role in reducing shortages, ensuring material readiness, and supporting smooth operations across planning, purchasing, and assembly.
Responsibilities
- Screen BOMs and MRP data to quickly identify missing and critical parts.
- Maintain an accurate and concise shortage list that includes priorities, expected arrival dates, owners, and next actions.
- Own end-to-end parts tracking from identification of need through receipt and resolution.
- Identify potential shortages early and contact responsible internal and external stakeholders to confirm dates and arrange solutions.
- Coordinate with suppliers to confirm delivery dates, arrange partial shipments, and implement short-term workarounds when necessary.
- Trigger and follow defined escalation processes when material risks or delays require additional attention.
- Provide proactive, transparent status updates to internal customers such as Assembly, Planning, and Project Management regarding material status, risks, and next steps.
- Reduce material shortages through targeted management and ensure material availability to support production and project timelines.
- Collaborate closely with internal teams including Purchasing, Planning, Assembly, and Engineering to align on solutions for material issues.
- Follow up consistently on commitments from suppliers and internal stakeholders to ensure agreed actions are completed.
- Organize partial shipments and alternative solutions to mitigate the impact of delays.
- Document supplier commitments, delivery dates, and actions in the ERP system along with clear status notes.
- Maintain structured records of material status and actions taken to support transparency and traceability.
- Proficiency working with ERP and MRP systems for material and inventory control.
- Experience with inventory management, inventory control, and material control processes.
- Ability to interpret and work with bills of material (BOMs) and related supply chain data.
- Basic to intermediate skills in Microsoft Excel for tracking, reporting, and analysis.
- Strong communication skills to provide clear, reliable updates to internal and external stakeholders.
- Ability to prioritize quickly and manage multiple material issues simultaneously.
- Structured, hands-on working style with strong follow-through on commitments.
- Experience or familiarity with supply chain, planning, and purchasing activities.
- Commercial or technical training relevant to supply chain, logistics, or a related field.
- Experience in operational purchasing or expediting is a plus.
- Background as a planner, buyer, or in supply chain coordination is beneficial.
- Comfort working with inventory, BOMs, and ERP data in a fast-paced environment.
- Demonstrated ability to coordinate with cross-functional teams such as Purchasing, Planning, Assembly, and Engineering.
- Strong organizational skills and attention to detail for maintaining shortage lists and status documentation.
The Material Coordinator works in a structured, fast-paced environment that relies heavily on ERP and MRP systems, inventory management tools, and Microsoft Excel for day-to-day operations. The role involves frequent interaction with internal teams such as Planning, Purchasing, Assembly, Engineering, and Project Management, as well as regular communication with external suppliers. Work is primarily office-based, focused on system work, data analysis, and coordination activities to support production and project timelines. Job Type & Location
This is a Contract to Hire position based out of New Richmond, WI.
Pay and BenefitsThe pay range for this position is $35.00 - $45.00/hr.
