JOB DETAILS:

Job Title: Coordinator III

Location: San Leandro, CA 94577 (100% Onsite)

Duration: 6 Months Contractual (Possible Temp-to-Hire)

Shift: 7:30 AM to 4:30 PM (40 Hours/Week, Overtime Required)

Interview Process: 2 Rounds (1st: Virtual | 2nd: In-person with an Operations Colleague)

Role Overview

Join our service and repair department! You will work closely with the operational team, handling administrative duties associated with state code compliance and department logistics. This dynamic role features daily shifting priorities, where one day may have a completely different focus than the next.

What You’ll Do

• Operations & Reporting: Assist the operational team with data reporting and diverse project-based tasks.
• Compliance: Generate proposals for state work and send compliance letters to authorities.
• Coordination: Align daily operations with superintendents, repair managers, and technicians.
• Customer Care: Communicate tasks clearly to clients and research order inquiries.
• Documentation & Finance: Process preliminary orders, track pending work, pull necessary permits, and manage the AP (Accounts Payable) hold process.
• Logistics & Spending: Schedule third-party vendors, track repairs, monitor materials spending, and verify client billing details.

Required Skills & Qualifications

• Systems: Proficiency in Oracle systems is required; willingness to learn Salesforce for future deployment.
• Tech: Strong Excel skillset and good proficiency in Microsoft Office Suite (Word, Access, Outlook).
• Experience: 3 to 6 months of administrative experience; elevator industry knowledge is highly preferred.
• Physical: Ability to lift up to 20 lbs. and distinguish color-coded screens.
• Mindset: Highly organized, detail-oriented, budget-conscious, client-focused, and adaptable to changing daily focus areas.
• Education: High School Diploma or GED required.
