This role is crucial in supporting the Intercept Team Supervisor and Specialists with a variety of administrative tasks that ensure the smooth operation of our programs. The ideal candidate will possess strong communication skills and the ability to multitask in a dynamic environment. This position requires a proactive approach to problem-solving and the ability to work collaboratively with team members and external partners. The successful candidate will be a reliable team player who can adapt to changing priorities and provide exceptional administrative support to ensure the success of our programs.
Requirements:
Education: High school diploma or GED is required
Experience: Previous experience in an administrative role is preferred but not required. Experience with web-based applications and proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) is strongly preferred Strong organizational skills and attention to detail. Excellent communication skills, both written and verbal. Ability to handle sensitive information with confidentiality.
Other: Valid Texas driver’s license within 90 days of establishing Texas residency.

Key Expectations/Responsibilities:
Core Competencies
- Provide administrative support to the program, including referral management, scheduling, and other duties as assigned.
- Maintain confidentiality and follow policies related to personnel records and client records.
- Assist in scheduling and tracking intakes, as well as outreach and marketing for referrals.
- Attend relevant trainings and meetings as needed to enhance job duties.
- Support collection of program data and ensure accuracy.
- Assist in tracking GuideTree activity and enter data into GuideTree, Evolv, and other systems.
- Assist in record development, management, and maintenance. Auditing Evolv and GuideTree for record accuracy.
- Handle payment processing and assist in tracking client funds on a monthly, quarterly, and fiscal year basis.
- Support hiring processes, schedule interviews, follow up on onboarding packets, and ensure new hires have access to IT and logistics.
- Correspond by telephone with community partners, families and other agencies to obtain necessary work and referral-related information.
- Assist in gathering of new community-based resources and updating existing database for Intercept Specialists to refer current families.
