Job Description:
The Payroll Specialist is responsible for processing payroll and ensuring compliance with all applicable federal, state, and local regulations. This role supports accurate and timely payroll execution for hourly and salaried employees while maintaining confidentiality and data integrity.
Key Responsibilities:
• Process payroll on a regular schedule (weekly, bi-weekly, or semi-monthly) for hourly and salaried employees
• Review and validate timekeeping records, including hours worked, overtime, and paid time off
• Maintain payroll records and ensure accuracy of employee data, including deductions, direct deposits, and tax withholdings
• Calculate and process adjustments such as bonuses, commissions, retroactive pay, and corrections
• Ensure compliance with payroll laws and regulations, including wage and hour laws and tax requirements
• Prepare and submit payroll tax filings and assist with year-end reporting, including W-2s
• Respond to employee inquiries related to payroll, deductions, and pay discrepancies
• Reconcile payroll reports and general ledger accounts in coordination with accounting
• Assist with audits by providing payroll documentation and reports as needed
• Support process improvements and system enhancements to increase efficiency and accuracy
Qualifications:
• Associate or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (or equivalent work experience)
• 2 years of payroll processing experience, preferably in a multi-state environment
• Strong understanding of payroll laws, tax regulations, and compliance requirements
• Experience with payroll systems (e.g., ADP, Paychex, or similar platforms)
• Proficiency in Microsoft Excel and general computer skills
• High level of accuracy and attention to detail
• Ability to handle sensitive and confidential information with discretion
• Strong organizational, problem-solving, and time management skills
• Effective communication skills, both written and verbal
• Ability to work independently and meet deadlines in a fast-paced environment
