Our client is an asset management firm. They seek an Executive Assistant to the CFO to join their Manhattan, NY office.
Responsibilities
- Manage a broad variety of administrative tasks for the Chairman & CEO and Chief of Staff, including active calendar management, expense reporting, confidential correspondence, complex travel arrangements, and meeting preparation
- Coordinate and ensure the schedules of the Chairman & CEO and Chief of Staff are followed and respected
- Represent the Chairman & CEO and Chief of Staff in communications with Board members, Executive Committee, and other stakeholders regarding programmatic initiatives
- Assess, prioritize, and follow up on incoming issues and sensitive or confidential matters directed to the Chairman & CEO and Chief of Staff, determining appropriate actions or responses
- Liaise between the offices of the Chairman & CEO and Chief of Staff and internal departments to maintain alignment, credibility, trust, and executive support
- Maintain and update contact records, interactions, and activity for the Chairman & CEO and Chief of Staff in the firm’s CRM to ensure accuracy and currency
- Partner closely with the Chairman & CEO and Chief of Staff to track commitments and keep them informed of upcoming responsibilities and follow-ups
- Lead coordination of events and special projects for the Chairman & CEO and Chief of Staff, including those with organizational impact
- Monitor and track the status of ongoing projects and initiatives, proactively flagging deadlines, dependencies, and required follow-ups
- Resolve conflicting priorities by handling matters expeditiously and ensuring the timely completion of projects under tight deadlines
Requirements
- Bachelor's degree or related experience
- 5-10 years of experience as an Executive Assistant
- Strong organizational skills
- Strong interpersonal skills and the ability to maintain relationships with staff
- Strong communication skills
- Ability to work independently
- Proven ability to handle confidential information
