Job Description

We are looking for an Admin Assistant (AA) who plays a key role in ensuring operational efficiency in daily office activities. This position supports the Operations Department by managing front-office functions, coordinating communication, handling administrative processes, and assisting with departmental projects as needed. The ideal candidate will be a proactive team player with strong organizational, communication, and multitasking abilities.

Skill / Qualifications

  • Bachelor’s degree (BS/BA) and/or relevant administrative experience preferred
  • Strong interpersonal and communication skills (verbal and written)
  • Ability to interact professionally with clients, colleagues, and government agencies
  • High level of discretion and ability to handle confidential information
  • Excellent organizational, multitasking, and time management skills
  • Ability to work independently and perform effectively under pressure
  • Detail-oriented with high accuracy and consistency
  • Proficiency in Windows-based systems, including Microsoft Office Suite and Adobe PDF
  • Flexible and adaptable in a fast-paced work environment
  • Strong relationship-building and collaboration skills

Job Responsibilities

  • Welcome and assist guests in person or via telephone professionally
  • Answer, screen, and route incoming calls to appropriate departments or individuals
  • Scan, log, and distribute incoming mail through the email mail system
  • Maintain accurate records in the mail tracking database to ensure accountability of all correspondence
  • Coordinate and collaborate with internal departments and remote employees
  • Monitor and maintain office supply inventory, including ordering and verifying deliveries
  • Assist the Accounting team with invoice syncing, payment processing, and collection activities
  • Handle outgoing mail and package shipments
  • Support office operations and contribute to strengthening workplace culture
  • Assist the Operations Department with projects on an as-needed basis
