We are seeking a detail-oriented and highly organized Administrative Assistant will provide comprehensive support to the Operations department, assisting with a wide range of operational accounting and administrative tasks.
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Experience in administrative and/or operational accounting tasks preferred.
- Proficiency in QuickBooks and familiarity with payment processing systems is a plus.
- Proficiency in Microsoft Outlook and Excel.
- Strong attention to detail and ability to manage multiple tasks efficiently.
- Excellent communication and organizational skills.
- Perform daily and monthly payment requests for state fees in QuickBooks.
- Match and process client and partner invoices through designated payment systems.
- Apply payments for all client wire and check transactions to invoices in the appropriate systems.
- Process credit card payments, ensuring correct coding and accurate invoice application.
- Collaborate closely with the Operations team to identify, communicate, and resolve areas of deficiency or errors.
- Support various aspects of operational accounting, including billing, credit card reconciliation, reporting, accounts receivable, payment research, and spreadsheet data entry.
- Manage daily ACH, wire, and check payment applications.
- Monitor and maintain the Accounting distribution mailbox, ensuring timely responses to internal and external inquiries.
- Assist the Operations Manager with daily operational tasks as required.
- Identify and help prevent discrepancies by contributing to the development of improved control systems.
