Position Overview
This role supports front office operations by managing client interactions, coordinating scheduling, and handling administrative processes within a healthcare setting. The position requires flexibility, strong organizational skills, and the ability to work across multiple locations while maintaining high standards of accuracy and professionalism.
Key Responsibilities
- Welcome and assist clients in a professional and courteous manner
- Manage check-in and check-out processes, including verifying insurance coverage and updating demographic information
- Collect co-payments, balances due, and maintain accurate payment records
- Schedule client appointments and maintain provider calendars
- Complete intake processes, including distributing and collecting required documentation
- Respond to phone calls, emails, and client inquiries in a timely manner
- Process referrals to specialists and coordinate follow-ups
- Conduct reminder calls to confirm upcoming appointments
- Initiate and follow up on prior authorizations and required documentation
- Update and maintain records within the electronic medical record system
- Transfer and close cases as needed in the system
- Scan, organize, and manage documents within patient records
- Handle incoming and outgoing faxes and mail distribution
- Assist providers and clinical staff with documentation, letters, and referrals
- Support scheduling for meetings, time off, and other calendar needs
- Collaborate effectively with team members to support daily operations
- Perform additional administrative duties as assigned
Qualifications
Required:
- High school diploma or GED
- Minimum 2 years of recent experience in a medical office or similar setting
- Experience with insurance verification, referrals, and administrative workflows
- Ability to follow detailed instructions and manage multiple tasks efficiently
Preferred:
- Associate’s degree
- Experience with electronic medical records systems
