Job Description

The Client Operations Supervisor is responsible for our Client’s day-to-day Client operations and strategy support, reporting into the VP, Strategy. The Supervisor will manage Client-specific operational tasks across various disciplines with the TD Bank Zenith US team including Strategy, Finance and Agency Administration & Compliance. This role is responsible for providing centralized operational leadership, and to efficiently and effectively project manage tasks across the Client team, ensuring all key milestones are met. The Supervisor will work with Zenith Operations to develop and implement processes and best practices to ensure Client success.

The Supervisor understands the planning process from Client brief to plan execution in order to improve process efficiency. The ability to problem solve and work well with the various internal and Client teams is a critical aspect of this role.

This role provides the opportunity to work on a cross agency Client that drive business goals (both for the agency and our Clients) and increase efficiency across the agency.


General Responsibilities / Team Operations:

  • Gain a deep understanding of the Client Business, and the way the network is organized, and consistently look for process improvements across the Client team
  • Work with the agency Client leads to ensure an account playbook is developed to bring the Client Scope of Work to life for the TD Bank Zenith team
  • Partner with various Team Leads in multiple disciplines to determine intersection points on different projects and find more efficient ways of working
  • Facilitate new team member onboarding, including developing Client specific materials
  • Ensure all tools are set up for the Client and new team members, including but not limited to, MediaOcean, MediaTools, Authorize, etc.
  • Build and maintain all team email distribution lists
  • Share ideas and solutions for pain points/problems in processes; work alongside internal and external teams to develop best practices, enhancements, and tools to improve them
  • Assist building and maintaining the MediaTools nomenclature of the TD Bank Zenith team
    • Maintain taxonomy to be used in MediaTools for the upcoming year
  • Manage the Authorization approval structure, following the process and hierarchy dictated by the Client
  • Be the main point of contact for monthly Authorize FMC reporting, ensure that monthly internal audits are completed
  • Ensure accuracy of all budgets in MediaTools (if applicable), Q&A the planners’ work
  • Act as point of content for vendors such as Mediaocean, SQAD/MediaTools, DoubleVerify and other agency systems
  • Work with the Canadian teams to develop synergies for process


Governance:

  • Directly support and oversee monthly deliverables within the team, and establish specific processes in delivering reporting, Client KPIs and SLAs requirements
  • Oversee the aggregation of deliverables for key Client meetings to include – Client QBRs, Monthly Governance meetings, and writing of related presentations
    • Oversee accuracy and delivery of reports required by Client – monthly budget tracker, monthly campaign tracker, quarterly digital metrics report, monthly financial reconciliation report, monthly innovation report
  • Oversee and improve processes to ensure data integrity and implement across the team


Financial Support:

  • Work with Corporate Finance to source staff hours reports from timesheets and ensure they are completed by staff in a timely manner
  • With Corporate Finance, oversee the accuracy and delivery of the Monthly Agency Hours report
  • Partner with Client Finance to ensure billing is accurate each month, managing the draft billing process, and follow up with the Clients if payments are needed

Qualifications
  • Degree in a related discipline (preferably in a Business, Communication, Marketing, Finance, Accounting or Economics)
  • 4 years of related experience
  • Ability to work independently and collaboratively with diverse groups
  • Exceptional critical thinking and problem-solving abilities with the ability to think unconventionally in proposing solutions
  • Brave voice who will suggest new ideas and challenge the status quo, but can also help carry out the smart ideas of others
  • A proven ability to multi-task and manage multiple projects effectively and work well under pressure to deliver high-quality work within tight deadlines
  • Strong attention to detail
  • Proficiency in the full Microsoft Office Suite
    • Experienced Microsoft Excel user comfortable with pivot tables, VLOOKUPS and formulas relevant to marketing, operations, and finance; Excel Power Query knowledge is a plus
  • Proficiency in MediaTools and Mediaocean reporting is a plus
  • Exercises discretion when presented with sensitive and/or confidential information (e.g. financial information, personnel information, etc.)
Additional Information

Compensation Range: $70,000- $110,000 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. For this role, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
