Zak's Home is a regional home furnishings center serving customers in East Tennessee, Western North Carolina, Southwest Virginia and Eastern Kentucky. We are a family owned and operated business that has been part of the Tri-Cities community for over 50 years.

We are currently seeking a full time Administrative Specialist.

This is a dual role that requires a unique individual that is comfortable with performing tasks ranging from accounting functions to directly dealing with customers and vendors. Duties and responsibilities include but are not limited to:

  • Processing daily cash deposits.
  • Coding and entering invoices for payment, printing reports for review, and preparing checks for mailing and filing check stubs and invoices in vendor files.
  • Maintaining vendor files and reconciling vendor statements, including resolving vendor inquiries regarding outstanding payables, credit memos, lines or credit, etc.
  • Reconciling selected general ledger accounts, as requested by Controller.
  • Performing daily activities related to retail customer service at the point of sale, including completing customer sales tickets, collecting payment, processing customer finance applications, scheduling delivery or pick up of furniture products, etc.
  • Answering telephone calls and responding to customer inquiries in a courteous and professional manner, directing calls to appropriate personnel if necessary, and greeting and directing customers, vendors, and other visitors.
  • Generating individual and group price tags and reviewing for accuracy.
  • Maintaining a filing system for customer sales orders and delivery receipts.
  • Maintaining the integrity of inventory item files, staying educated on how items are ordered from each vendor and ensuring that costs associated with inventory items are recorded accurately.
  • Entering stock and special-order purchase orders and forwarding to vendors in an accurate and timely manner.
  • Comparing outstanding purchase orders with vendor acknowledgments as they arrive and verifying that costs and prices are accurate, resolving any discrepancies or conflicts as they arise and matching incoming manufacturer invoices with receiving paperwork.
  • Reviewing open order listing on a regular basis to determine status of outstanding orders, and cancelling any outstanding purchase orders that are no longer valid.
  • Scheduling dock appointments and creating inventory bar code labels for incoming shipments.
  • Processing physical receiving in database, verifying accuracy of items physically received with manufacturer bill of lading.
  • Ensuring that vendor chargebacks for damaged or missing merchandise are processed on a timely basis.
  • Receiving, managing, and resolving customer service-related issues for two retail locations, including but not limited to manufacturer defects, warranty issues, and exchanges and returns.
  • Preparing schedules for service personnel, assigning personnel to routes or to specific repair and maintenance work as needed.
  • Working with vendors and suppliers to order and receive replacement parts and supplies on a timely basis; ensuring that vendor chargebacks and credits are received for defective merchandise.
  • Reviewing customer service email and voice mail messages and responding in a timely and professional manner.
  • Special projects as needed, i.e., filing in Controller’s office, assisting with open enrollment, etc.
  • Other tasks may be assigned as necessary.

Minimum requirements and qualifications:

  • Excellent written and verbal communication skills
  • Excellent time management and planning skills
  • Strong organizational skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills (i.e., identifying inventory cost issues when entering payables)
  • Proficiency in Microsoft Office and Excel
  • Two- or four-year college or university degree and one to two years related experience; equivalent combination of education and experience will be considered
