Zachys is currently seeking a Facilities Manager who would be responsible for, and supervises, the security, safety, maintenance, care and efficient operation of all buildings, grounds, and equipment at Zachys headquarters facility in Port Chester, NY, to ensure that it is secure, clean, and functional. Duties include managing service providers, inspecting facilities to meet safety regulations and coordinating repairs and updates. This position will also support the security needs of the organization when needed. When available, the position will also perform duties assigned by the Inventory Team to support the security and accuracy of product.
Key responsibilities and essential job functions include, but are not limited to:
Facility
  • Monitors the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces
  • Schedules, supervises, or performs routine maintenance on facilities.
  • Schedules, supervises, or performs daily and routine inspections.
  • Coordinates upgrades and emergency repairs with outside vendors.
  • Performs any unexpected cleaning and maintenance tasks as needed.
  • Manages outside cleaning vendors such as the waste pickup, office cleaning, landscaping, and snow removal.
  • Creates reports on maintenance, repairs, safety, and other occurrences for mgmt.
  • Produces and submits permitting and filings required by town/county as requested.
  • Prepares facilities for changing weather conditions.
  • Maintains issues and service logs as well as vendor contract.
  • Collaborates with management on budgeting for facilities needs
  • Approves invoices
Inventory/Warehouse Support
  • Works under Inventory Team direction to support counting and issue resolution process, as well as any ad hoc projects as needed.
  • Provides hands-on support for warehouse functions when time and needs permit.
Security Support (Backup)
  • Administers card access system as well as create/inactivate users as needed.
  • Coordinates any upgrades/repairs of all security equipment used and installed in facility.
  • Ensures proper security measures for the workplace, including collaborating with security system vendors
  • Monitors surveillance cameras and reports suspicious behavior.
  • Communicates with law enforcement, fire departments, and emergency medical personnel when needed.
  • Monitors public access to ensure the security of all personnel and visitors.
  • Conducts regular walk-throughs and security inspections for assigned facilities.
  • Responds to alarms and analyzes security footage.
  • Provides employee termination support as needed.
  • Maintains driver list and application process.
  • Reports and investigates suspicious behavior, incidents, and security breaches.
  • Maintains an activity log and prepares surveillance reports.
  • Provides onsite presence for large company events, coordinating external security needs.
  • Adheres to company policies and legal regulations.
Desired skills and experience:
  • Facility Maintenance Experience
  • Five years of related security experience required.
  • Forklift certification
  • Proficiency with Microsoft Office, especially Excel & Outlook and warehouse management system knowledge a plus
  • Able to read, write, and count accurately
  • Self-motivated, able to take directions as well as work independently
  • Dependable and dedicated to company vision and values
  • Looks for ways to improve and promote quality
  • Able to multi-task in a fast-paced, team orientated setting
  • Well-versed in technical/engineering operations and facilities management best practices
Physical Requirements:
  • Ability to lift, bend, & stoop when required and stand for extended periods.
  • Prolonged periods sitting at a desk and working on a computer.
  • Ability to traverse various areas of the facility to conduct inspections and plan security procedures.
  • Occasional heavy lifting up to 50 pounds
Work Environment: The environment is typical of a cool storage atmosphere, maintained 55-60 degrees in facilities
