Position: Family Justice Center Front Desk Assistant

Full Time Equivalency: 1.0

Hours/Week: 40

Compensation: $17 per hour

Reports to: Family Justice Center Director

Position Summary

The Front Desk Assistant provides a variety of administrative support and program participant - focused services that support the work of the YWCA and Family Justice Center staff.

Essential Job functions

  • Direct Services for Program Participant Support include:
    • Answering phones and greeting all visitors to the Family Justice Center.
    • Assessing individual needs upon entering the facility to ensure FJC can support needs.
    • Coordinating intakes and appointments with staff and partner agencies.
    • Screening client concerns or inquiries and directing calls to appropriate staff.
    • Act as a liaison between participants, staff and community partners.
  • Program Support for FJC Staff include:
    • Following security protocols and performing safety screenings before allowing entry into secure areas.
    • Monitor campus security in collaboration with all staff to ensure safety and well-being of program participants, staff, and visitors.
    • Ensure the office is stocked with adequate supplies and forms; coordinate supply orders as necessary.
    • Maintain department calendar to reflect day to day programmatic operations and staff availability.
    • Update and maintain digital departmental files.
    • Relay internal and relevant external emails to staff.
    • Enter appropriate information into, and maintain strong working knowledge of the HMIS-compliant Efforts to Outcomes (ETO) data management system
    • Monitor and track programmatic input data (e.g.: statistics, trends, and numbers, services requested, etc.).
    • Assist FJC Director in ensuring programmatic operations and efforts are, and remain, survivor centered and trauma informed.
    • Coordinate/oversee volunteer assignments and activities .
    • Collaborate with FJC Director and team to provide feedback about additional services, partners, or people needed to address survivor requests.
    • Work collaboratively with peers and colleagues across other programs and departments to promote integrated service delivery for survivors accessing domestic violence services on the YWCA’s campus .
    • Participate in YWCA Utah’s ongoing racial and gender equity staff meetings and workgroups.

Additional Duties and Responsibilities

  1. Keep all records necessary to ensure that work is conducted in accordance with agency, contractual, and legal requirements. Records are expected to be complete, accurate, and timely.
  2. Maintain all certifications and licensing related to role, program licensing, and grant standards including, but not limited to: CAT (Core Advocacy Training), CPR and First Aid.
  3. Attend all required staff meetings, individual and/or group supervision, agency-wide staff and other trainings, as well as other meetings and activities as requested.
  4. Support day-to day FJC operations and adapt to evolving programmatic/participant needs.
  5. Incorporate feedback from Director and team to continuously improve services.
  6. Foster a safe, welcoming and inclusive environment.

Qualifications:

  • General knowledge of direct victim services, Domestic Violence and Intimate Partner Violence with an emphasis on violence and sexual violence issues, as well as gender and race equity issues from a feminist perspective.
  • Understanding of equity, anti-oppression and trauma-informed care philosophies (2 questions)
  • Ability to collaborate and invite collaboration.
  • Knowledge of vulnerable populations, human behavior, substance use, mental health, and chronic homelessness, helpful and preferred.
  • Knowledge of the issue of domestic and sexual violence and child development (through adolescence), helpful.
  • An understanding of, and agreement with, YWCA Utah’s mission, values and philosophy regarding the elimination of racism, empowerment of survivors and commitment to anti-oppression work and social justice.
  • Understanding and commitment to issues of cultural diversity and anti-racism.
  • Proficiency with general office duties, computer systems (Microsoft Office) and technology.
  • Ability to demonstrate effective communication, conflict resolution and problem solving.
  • Strong inclination for customer service.
  • Ability to work independently and manage time.
  • Sharp attention to detail with ability to multitask.
  • Strong organizational and self-directive skills.

Preferred

  • Spanish speaking preferred, but not required

Physical/Sensory DemandsWork is generally performed in a safe and comfortable office environment. While performing the duties of this job, the employee is regularly required to: sit for long periods of time; use computer to enter data; use telephone to converse with customers and employees; walk and stand for long periods of time; perform repetitive wrist, hand and/or finger movement.
