Summary of Position

Assesses, develops, implements, administers, and evaluates a comprehensive membership and guest services program including membership sales and promotion; assists with guest services functions; leads a team of student employees, tracks membership, and manages membership software administration. Develops, implements, and executes a comprehensive department marketing plan to inform members and students of events, programs, and general recreation.

Position Information

Essential Functions and Responsibilities: Develops new recruitment/membership options based on industry trends; assesses students and membership needs and effectiveness through customer interest, participation statistics, satisfaction surveys, accomplishment of learning outcomes, and participant feedback. Maintains membership data to generate area specific reports. Initiates and maintains close working relationships with various departments across campus and in the community to promote and advance the interest of assigned departments and the University.
Assists with administrative responsibilities related to department member and program management software, membership renewals and reminders, eligibility confirmation, and software troubleshooting.
Utilizes technology and assessment skills to audit membership data to ensure accuracy and completeness. Troubleshoots basic software and hardware to membership/point of sale (POS) system that allows employees to effectively incorporate systems into the customer experience.
Develops contingency plans for the continual operation and customer service experience in the event of a technological failure. Assists in the input of online membership and registration information. Assists with POS and membership electronic systems to maintain all membership records; ensures guest passes are working properly through the controlled access program.
Leads locker rental sales processes, including but not limited to, tracking in software program, associated policies and procedures, and lock management.
Uses various marketing software products and websites to create marketing flyers, videos, and ads for department. Works with University constituents to prepare, review, and print marketing materials for department events.
Oversees all departmental marketing campaigns including social media accounts, electronic and paper signage, and tabling events. Assists in coordination of event staffing and membership event preparation.
Works collaboratively with other areas of Campus Recreation regarding program registration processes. Works with colleagues to provide consistent communication to members and patrons; includes membership renewal reminders.
Arranges for office student staffing as required by programming and special events; ensures customer service needs are met during departmental special events.
Coordinates administrative office staffing and hours of operation schedule to accommodate needs of the department, on-campus groups, and community groups. Provides supervision for student staff to assist with membership sales and content creation of marketing materials such as, social media content, electronic signage and print materials.
Assists with recruitment of student staff; makes recommendations for employment; hires, trains, schedules, supervises mentors, evaluates, and disciplines student staff who oversee customer service functions. Conducts area specific training; maintains accurate and up-to-date records regarding student employees.
Leads department sponsorship efforts with local businesses. Identifies potential sponsors, contacts/meets with businesses, and secures sponsors throughout the year. Promotes sponsors according to contract provisions. Works to renew current sponsors yearly.

Other Functions and Responsibilities:
Maintains the ability to develop and implement policies and procedures.
Performs other related duties as assigned.

Equipment Operated:
Computer and all other standard office equipment.

Work Schedule: Typically, Monday through Friday;
Must be able to work evening and weekend hours.

Supervision Exercised:
Supervision is exercised over student employees.

Associate Director, Campus Recreation

Qualifications and Competencies

Required Certifications, Training, and/or Licensures: Current CPR and First Aid with AED certification; valid driver’s license.

Knowledge, Skills, and Abilities:
Knowledge of: University policies and procedures*; office practices and procedures; department/division goals and objectives*; department/division policies and procedures*; workplace safety practices and procedures*; English grammar and spelling; records management; office management; project management.
Skill in: Use of office equipment; typing, data entry; computer operation; use of computer software and other programs applicable to the assigned department/division*.
Ability to: Collect data, establish facts, and draw valid conclusions; determine material and equipment needs; compile and prepare reports; use proper research methods to gather data; understand a variety of written and/or verbal communications; maintain records according to established procedures; effectively interact with personnel and public to answer routine questions; train or instruct others; move quickly and effectively from one tasks to another; work independently and in a team environment; develop and maintain effective working relationships.

Minimum Qualifications:
At least a bachelor’s degree; one or more years of experience working in a related field; professional experience in marketing, guest and membership services, and/or customer service; supervisory experience; valid driver’s license.

Preferred Qualifications:
A master’s degree in campus recreation administration, higher education administration, student development, recreation management, sports management, kinesiology, counseling, marketing, or a related field. At least two years of staff supervision experience, including the development of student staff. Demonstrated experience in relevant computer applications and revenue generating experience. Active member of NIRSA. Experience working higher education.
