Description

The County of Yolo is recruiting to fill two (2) regular, full-time positions in the class of Legal Process Clerk I at the Yolo County District Attorney's Office.
Definition:
Under close supervision, and on a training basis, accepts, processes, produces, and files documents related to the establishment and maintenance of a court-related legal record; assists in performing daily office functions; and performs other related duties as assigned.
Ideal Candidate Statement:
The ideal candidate for this position will be a team player who is excited about starting a career in the justice system and serving the public by providing excellent and professional customer service. They must answer and route incoming calls on a multi-line phone system with professionalism and enthusiasm and will be an enthusiastic and adaptable professional with exceptional multitasking abilities and writing skills. They must be able to develop and maintain cooperative working relationships with others, have strong attention to detail; have excellent written and verbal communication skills; and have the ability to prioritize work and meet deadlines. They must be able to use sound judgement in applying appropriate laws, regulations and policies. Preferred software knowledge for the position includes word processing, spreadsheets and database programs.
Distinguishing Characteristics:
This is the entry and trainee level class in the Legal Process Clerk Series. Incumbents in this class are required to learn to perform a combination of various court-related legal clerical functions of minimum to average difficulty.

Essential Functions

Duties may include, but are not limited to, the following:
  • Sets up and maintains files in accordance with established policy in creating a court-related legal record;
  • Prepares and types a variety of simple court-related legal forms, documents, notices, letters and abstracts, as well as other correspondence related to legal filing and legal processes;
  • Verifies, enters, retrieves and updates information and data into a computer terminal;
  • Records case information manually and/or electronically;
  • Prepares, types and/or generate a variety of simple forms, documents, notices, letters, orders, and/or abstracts related to legal processes;
  • Opens, time stamps, sorts and distributes mail and other materials;
  • Receives and files legal documents and ensures they are placed in the appropriate record;
  • Accepts, reviews, returns, endorses, certifies and/or files documents, and records related information in a computer;
  • Maintains records and/or files;
  • Receives, receipts and post payments of fines, bails and filing fees.
  • Some positions may require the performance of different essential or other duties depending upon work location, assignment, or shift.

Employment Standards

Experience: One (1) year of general clerical experience.

Substitution: A year of full time education beyond high school may substitute for the required experience.

Typing: Must type a rate of not less than 35 net words per minute.

Knowledge of: modern office methods and equipment; alphabetical and numerical filing; basic arithmetic; correct use of the English language, including spelling, punctuation and grammar; general knowledge of the court and criminal justice systems.


Ability to
: type accurately from clear copy; understand and follow written and oral instructions; learn and develop skills prioritizing, maintaining, and coordinating a heavy workload; deal with the public in a professional and tactful manner; use independent judgement; work with a variety of California statutes and local ordinances; maintains the confidentiality of court-related records; perform simple to average court-related legal clerical duties; operates a computer terminal; be accurate in performing duties; establish and maintain effective working relationships with others, including attorneys, coworkers and the general public; work with a variety of state statutes and local ordinances; read and write at the high school level.

License: Some positions in this classification may require incumbents to possess and maintain a valid California driver’s license, Class C or higher, to carry out job related duties. Typing Certificate Information

There are a variety of businesses and agencies where you can obtain a typing certificate. Most applicants get a certificate at a temporary employment agency. Online typing certificates are NOT accepted. In order for your typing certificate to be accepted, it must meet the following criteria:
  • The test must be a minimum of three minutes long
  • The test must have been completed within the past twelve (12) months prior to the date of the submitted application
  • The typing certificate must include time limit of the test, gross words per minute, number of errors, date of the test, and the signature of the person who administered the test. The certificate must also be on agency letterhead.

Written Examination
All candidates meeting the minimum qualifications will be invited to the written examination. This examination may test for, but is not limited to, the essential knowledge and abilities listed in this job announcement. Qualified applicants will be notified of the exact date, time, and location of the examination to the email address included in the application. All candidates competing in the testing process will receive written notice of their examination results by email. Applicants achieving a passing score will be placed on the eligible list in rank order. The rank is determined by the test score attained from the examination, in conjunction with any county or veteran's preference points.
