Yocha Dehe Wintun Nation is Hiring a Travel Coordinator Near Woodland, CA

SUMMARY: Yocha Dehe Wintun Nation (Yocha Dehe or Tribe) is a federally recognized tribal government. The Tribe’s mission is to provide for the health and welfare of its people, to govern its own lands and affairs with sovereign independence and in a manner consistent with its cultural values, and to enhance and diversify its economy for the overall good of the nation. Yocha Dehe’s governing body, its elected Tribal Council, is charged with implementing this mission. As a federally recognized tribe, Yocha Dehe exercises a government-to-government relationship with the United States, as well as with the State of California and local governments, and the Tribe actively engages with outside agencies and officials, local stakeholders, and members of the public.

POSITION SUMMARY: The Travel Coordinator will provide full-service travel coordination for Yocha Dehe Wintun Nation. Services will include reservations for hotels, rental cars, flights, and to help community members in their travel destinations. The Travel Coordinator will handle both domestic and foreign destinations. This position will interact with tribal members, department directors, external sources, organizations, and government agencies in coordination and executing travel activities. The Travel Coordinator is expected to handle sensitive, and confidential information.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Determines travelers’ needs and preferences, such as schedules and costs, travel insurance and other travel services.
  • Researches destination and travel prices, customs, weather conditions, reviews etc.
  • Arranges and books travel reservations for business and vacation travelers.
  • Plans and books reservations for travel, hotels, rental cars, and special events, such as tours and excursions and calculates total travel costs.
  • Handles deposits and payments for bookings.
  • Provides relevant information, brochures, and publications (guides, local customs, maps, regulations, events, etc.) to travelers.
  • Suggests suitable travel options and locations that best suite travelers’ interests and needs.
  • Tells travelers about what their trip will be like, including giving details on required documents, such as passports or visas.
  • Reviews visas, vaccinations, and other travel necessities.
  • Coordinates with traveler’s point-of-contact in days leading up to the trip.
  • Gives advice about local weather conditions, customs, and attractions.
  • Follows up with travelers about travel plans and adjusts as needed.
  • Makes alternative booking arrangements if changes arise before or during the trip.
  • Resolves travel challenges, complaints and/or refunds.
  • Maintains traveler files with past travel information, preferences, etc.
  • Processes travel invoices and reimbursement requests.
  • Records and tracks expenditure data, associating costs and account codes while updating and ensuring accuracy.
  • Develops and maintains physical and electronic file management systems.
  • Attends webinars, conferences, and other educational programs to keep learning about the latest industry trends.
  • Maintains accurate records.
  • Performs other duties as assigned.

REQUIRED KNOWLEDGE AND EXPERIENCE:

Qualifications

The requirements listed below are representative of the knowledge, skill, and/or ability required.

Supervisory Responsibilities

This job provides time and task supervision for Citizen Services Administrative Assistant performing travel related administrative functions.

Experience and/or Education

Three to five years of related experience and/or training; Associates’ degree (A.A.); or equivalent combination of experience and education. Bachelor’s degree in hospitality, travel, tourism, or related field, preferred.

Communication and Comprehension Skills

Must have excellent communication skills, including writing and proof-reading skills. Able to communicate effectively verbally and in written form. Able to maintain confidentiality and protect client rights. Excellent interpersonal skills both in person and by phone with a high degree of professionalism. Able to read and interpret documents such as safety rules, operations and maintenance instructions, and procedure manuals.

Computer Skills

Must be proficient in Microsoft Office applications with the ability to use word processing,multimedia, email, spreadsheets, and database management software.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.

Certificates, Licenses, Registrations

Individuals must be able to successfully pass the Tribal Gaming Agency (TGA) Background Check. Must possess a valid driver’s license and maintain a driving record that is satisfactory to the Tribe’s insurance carrier.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and ability to adjust focus.
