The J.A. Henry Community Y is seeking a full-time Office Manager to be responsible for the overall daily management and efficient operation of the branch office general processes, including support for the Food Program, Bingo’s Market, and the Mobile Market.
Job Duties:
Oversees the management of Food Program records and
files, including collections, Food Program data entry, tracking Food Program Numbers
Collects data and develops systems necessary for tracking of meal production, number of
participants, program efforts, processes and outcomes. Ensures recordkeeping
compliance both on-site and off-site. Compiles statistical information for reports as needed.
Maintains Food Program business procedures in accordance with Y and general accounting practices.
Manages paperwork collections from program sites, provides program worksheets to accounting, provides oversight to program registration; manages returned checks and program enrollment reporting.
Provides administrative support for branch/program Community Support Campaign, which may include processing request information, thank you letters, invoices and collection of funds.
Provides administrative support for Bingo’s Market and the Mobile Market, including processing and payment of vendor invoices, invoicing partners for voucher purchases, and banking processes.
Administrative duties including managing the purchase of office supplies and equipment, supervising the maintenance of office equipment, general program/branch correspondence, and assisting with program promotion. Maintain accurate inventory records.
Oversees clerical responsibilities associated with accounts payable, cash reports,
insurance, purchasing, document retention, program data and billing per Y standards.
Maintains accurate and detailed records of purchases. Manages the program budget and YMCA resources in a responsible manner.
Works with the Director in a liaison role to the branch and community for volunteer
recruitment, development, and management.'
Understands and teaches others to implement the site emergency plan as necessary.
Attends all staff meeting and training sessions as required.
Attends Association meetings, trainings and conferences related to the area of responsibility. Participates in all Branch and Association activities and special events.
Becomes fully knowledgeable in USDA guidelines for the SFSP & CACFP Program.
Other duties as assigned.
Qualifications:
High school diploma required
An Associate’s Degree is preferred, but not required.
Prior office experience (2-3 years preferred)
Excellent oral and written communication skills.
Excellent interpersonal and problem solving skills.
Knowledge of accounting, data and administrative management practices and procedures.
Possess excellent secretarial and office skills.
Knowledge of business and management practices.
Proficient knowledge of computers (including Windows-based systems, Microsoft Word, Excel,
and Outlook) & ability to learn YMCA systems including, but not limited to:
Personify & SGA.
Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
Must display high degree of professionalism and customer service.
Bilingual Spanish preferred.
