REPORTS TO:Chief External Officer
POSITION TYPE: 12-month
START DATE: Immediate
COMPENSATION: $74,604 - $89,525, Home Office grade 7

THE OPPORTUNITY

YES Prep needs a dynamic (title of role) with a diverse set of experiences, to make our mission a reality. As a YES Prep employee, you will achieve jaw-dropping results, create pathways to opportunity for our students, build transformative relationships, and eliminate educational inequities to advance social justice.

To put it simply, you will lead the portfolio of Signature Events that build our student experience and brand. You will also project manage cross collaborative projects that impact our work externally.

THE ROLE:
When you join the YES Prep External team, some of the work and responsibilities will include:

External
’s Team Project Management
  • Leading and supporting the management of key external’s team projects by providing resources and guidance with planning structures for External Leadership so they can focus on effectively executing content areas with accountable results impacting our schools and students.
  • Managing the External’s team resources to maximize cross collaboration among the different departments. Resources include events inventory, office supplies, meeting times, and talent among others.
  • Managing key external strategic partner initiatives. Lead the plan, design and execution of programmatic opportunities identified by Chief External Officer. The Director of External Projects will need to rely on impact and influence across departments to effectively execute on each opportunity.
  • Managing External’s team reporting mechanisms for departments key accountability metrics and dashboards that will increase team efficiency and positive organizational impact.
Champion management of External’s Team budget
  • Overseeing budget monitoring tools to keep all External Projects on budget.
  • Managing External’s team inventory including promotional materials, YES Prep event giveaways, office supplies, collateral material and other items. Management will include inventory oversight & process map supply reorders.
  • Designing systems and structures to support resource management of all External’s team program needs.
  • Completing monthly budget reconciliation to maintain all expenses on or below budget. Flag for Chief External Officer any budget concerns or over expenditures.
External Team structural support
  • Designing a cross-collaborative resource management system to effectively allocate all resources among External departments.
  • Designing and maintaining an External team accountability matrix that will centralize progress of work against goals and serve as a tool to showcase the External’s Team impact.
  • Collaborating with Chief External Officer to maintain the scope and sequence of professional development opportunities for the External’s team development.
  • Overseeing the calendar scheduling and resource allocation for Chief External Officer and External Leadership team members.
YES Prep Signature Event project management
  • Designing a process for the management and coordination of Signature Events identified by Chief External Officer. Some of YES Prep Signature Events include, but are not limited to the following:
    • Senior Signing Day over 20,000 attendees during the school day
    • YES Prep Kickoff over 2,000 attendees
    • YES Prep Milestones Years Celebration over 2,000 attendees
    • YES Prep Leadership Summit over 200 attendees
    • YES Prep Play Days over 500 attendees
    • YES Prep School Grand Openings over 500 attendees
    • Additional YES Prep Signature Events as added to the event calendar
  • Developing a Signature Event Play Book that centralizes the core planning components of these events for increased visibility of resource allocation, time management and reconcile impact of the YES Prep student experience. Some of the core components of the Signature Event Play Book are:
    • Signature Event scope
    • Signature Event categories & sequence
      • YES Prep Growth Events: groundbreaking, ribbon cutting, and other grand opening events for new elementary schools
      • YES Prep’s Experience Events
    • Event Compliance with internal and external regulations
    • Event registration and safety protocols
    • Event budget and expense tracker templates
    • Event vendor agreements & management
    • Event impact reconciliation
  • Communicating and delivering the value proposition of YES Prep to all community members through events.
  • Rooting Signature events YES Prep’s mission, impact story, and brand awareness
  • Other duties as assigned

THE PERSON

THE MUST HAVES
  • Corporate, conference or non-profit event experience for thousands of attendees
  • Bachelor’s degree from an accredited four-year college or university
  • Experience in hospitality, public relations, management, or a related field
  • Experience in project management with a track record of high yield events
  • Excellent organizational and documentation skills
  • Minimum 3 – 5 years of event experience either leading the event or as the event lead; will need event lead experience to be competitive
  • Ability to work outside of normal hours and on weekends; nights and weekends are required in this role
  • Excellent communication skills and presentation ability
  • Openness to giving and receiving frequent feedback
  • Ability to maintain emotional control under stress
  • Ability to work urgently in a fast-paced and results-oriented environment
  • Creates and maintains positive working relationships on a team and/or in a highly collaborative environment

THE PERKS
  • CompensationThis position is an exempt, salaried position; offers commensurate with experience.
  • Health and Supplemental Insurance – A $0 monthly medical option that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20 hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.
