Yale School of Medicine is Hiring a Library assistant Near New Haven, CT

Position Focus :

Working under the oversight of the Team leader, Library Services Assistant V (E grade) and supervision of the Associate Librarian for Public Services, perform a wide range of Interlibrary Loan, Document Delivery, Circulation, and other public service duties.

Monitors request queues daily and performs regular maintenance of processing queues to ensure consistent throughput and fulfillment operations;

runs daily reports to ensure benchmarks are met for resource sharing services. Collaborates with Team Leader and other Access Services units to guarantee timely delivery of materials and assists in ongoing workflow improvement and documentation.

In coordination with Team Leader, trains and supervises student workers. Assists with the training of Front Line Service staff and maintaining resource sharing training materials and documentation on Sharepoint and other collaborative platforms.

Provides services at public service desk in the Lillian Goldman law Library. Generates invoices for Resource Sharing; performs monthly reports and regular reconciliation of financial transactions for resource sharing operations across multiple systems, ensuring accurate accounting of departmental revenue and expenditures;

notes discrepancies in OCLC IFM statements and produces invoices through Accounts Receivable to recover lost charges; verifies that non-IFM payments for resource sharing services have been received.

Searches for bibliographic data with incomplete information or source material in catalogs, reference sources, files, and databases;

places requests to borrow materials from other libraries. Corresponds with Yale patrons and contacts from other Yale and non-Yale libraries, coordinates with Collection Development, and consults with subject specialists to fulfill requests for rare or unusual materials.

Processes requests for the purpose of generating search lists and pickslips at regularly-scheduled times in support of a variety of Access Services functions, including Interlibrary Loan, Borrow Direct, LSF transfer processing, Scan and Deliver requests, and material retrievals.

  • Ensures the timely receipt and processing of materials to satisfy resource sharing and reserves requests; resolves errors in ILLiad, Borrow Direct (Relais), and Voyager software, including item record creation as needed;
  • troubleshoots the identification of articles for scanning requests and oversees the production of scanned files. Resolves patron account queries and other request troubleshooting in a timely and customer service-oriented manner;

explains library policies and procedures to both internal and external patrons. Sends fines to the Bursar and reconciles student accounts.

Complies with all applicable and International copyright laws, Fair Use and e-reserves guidelines, and electronic resource licensing agreements according to established guidelines.

Ensures both access to and the long-term preservation of Yale library collections by observing proper care and handling procedures and referring brittle or fragile materials to the preservation team.

Identifies materials for digitization and refers them to the Digital Collections department. May assist Rare Books Librarian (.

25 FTE basis) with archival and other projects relating to rare books and special collections. Duties to include digitization of rare books;

conservation assessments of materials; record editing and creation in Morris and other databases. Contributes to unit goals by accomplishing related duties as required and participation in other Access Services team projects.

May be required to work holidays and recess days; may be required to substitute evenings and weekends. May be required to assist in disaster recovery operations.

Essential Duties

1. Serves as a primary source of information on established procedures and policies for staff and patrons. 2. May perform a range of public and technical services functions.

3. Oversees, instructs, revises, the work or coordinates work activities of staff. 4. Provides research assistance to patrons and staff in writing and at reference desk.

5. Interviews patron to determine scope and depth of request. Identifies and resolves problems. 6. Searches for bibliographic data with incomplete information or source material in catalogs, reference sources, files, and databases.

7. Acquires library material that has been recommended by patrons or librarians. 8. Oversees a unit budget. Monitors expenditures, reconciles statements and maintains records.

Organizes special projects. 9. Performs functions incidental to library activities.

Required Education and Experience

  • Six years of related work experience, four of them in the same job family at the next lower level, and high school level education;
  • or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field;

or an equivalent combination of experience and education.

Demonstrated ability to effectively complete tasks in a busy public services setting, with accuracy and attention to detail despite frequent interruptions.

Demonstrated ability to work independently and to exercise initiative while working without close, immediate supervision and while working collaboratively with others.

Ability to handle complex work assignments and to solve problems effectively. References must indicate reliable attendance, punctuality, self motivation, initiative, and diligent performance.

Required Skill / Ability 4 :

Demonstrated expertise in using Library catalogs and Integrated Library Systems (, Alma, Sierra), library electronic databases.

Demonstrated proficiency in multiple Microsoft Office applications (Word, Excel), email and Internet browsers.

Required Skill / Ability 5 :

Cover letter required . Demonstrated ability to meet deadlines and communicate across departments.

Preferred Education, Experience and Skills :

Proficiency with ILLiad and OCLC systems. Familiarity with scanning equipment and software applications such as Adobe. Demonstrated ability to direct and monitor the work of student employees.

Knowledge of or familiarity with rare book and manuscript collections, including protocols relating to their handling, usage, and care.

Physical Requirements

Ability to push book trucks, carry heavy volumes, reach high shelves, climb ladders, work in locations with dust, and stand or sit for long periods of time.
