Position Summary:

This position works directly with clients and providers to arrange and coordinate mental health treatment services. This position is responsible for managing the logistics involved with each case within their case load (i.e., transportation to-and-from the service location, filling out and completing paperwork, etc.) and is an important member of the interdisciplinary team at the Yakutat Community Health Center (YCHC). 

This position requires compliance with Health Center’s compliance standards, including its Standards of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element considered as part of the position’s regular performance evaluation.

Essential Functions:

  1. Engage with clients and coworkers in accordance with the BH Department’s Core Values; this position will often be the first interaction a client has with the BH Department, as well as the last interaction they have after leaving from their appointment. It is for this reason this position is crucial to the client’s experience at YCHC. 
  2. Assist with and take lead in multiple facets of the client’s treatment at YCHC, including but not limited to:
  3. Coordinating the intake process (i.e., filling out paperwork, scanning & storing documents, inputting information on AKAIMS and Cerner),
  4. Coordinating transportation for clients to-and-from the service location,
  5. Treatment/Family Service Plan Development as part of a interdisciplinary team,
  6. Advocacy work,
  7. QA/QI evaluations, input, and implementations,
  8. Scheduling appointments,
  9. Collecting, storing, and inputting data as required by grants or other funding programs,
  10. Community outreach, and
  11. Managing paperwork and service requirements for client cases (i.e., service authorizations, service limits, and communicating deadlines, etc.).
  12. Work as part of the interdisciplinary team to advocate on the client’s behalf. 
  13. Work directly with clients under the guidance of the responsible clinician. 
  14. Create and maintain a calendar for scheduled events, including but not limited to professional development trainings, continuing education, staff, tribal council and/or organization-wide meetings, and community events.
  15. Participate in Staff Meetings, Professional Development trainings, and any other special events as arranged. 
  16. Attend partner meetings to a) build rapport with partners b) assess the needs of clients and c) establish a support network for clients.
  17. Meet weekly with the Interdisciplinary Team to review client treatment. 
  18. Actively participates in weekly supervision with the BH Program Manager. 
  19. Must follow all mandatory reporting laws. 
  20. Coordinate and/or assist with special projects as assigned or requested.
  21. Understands and adheres to BH Department Policy and Procedures; reads and develops a working knowledge of the Employee Handbook. 
  22. Assumes responsibilities of vital administrative committees when assigned, including the role of chairperson if selected. 
  23. Participates in continuing education to advance knowledge/skill level. 

15.Must follow all mandatory reporting laws. 

16.Must comply with federal laws and regulations as required by the Health Insurance Portability and Accountability Act (HIPAA).

Knowledge, Skills and Abilities:

  • Knowledge of the Alaska Tribal Health System, Indian Health Services (IHS), and YCHC, 
  • Knowledge of federal, state and local regulations affecting areas of responsibility, including client services,
  • Knowledge of management and supervisory principles and practices,
  • Knowledge of budgeting practices and financial reporting,
  • Knowledge of ethical, legal, and best practices in every client interaction,
  • Working knowledge of HIPAA,
  • Knowledge of customer service principles within the Employee Handbook,
  • Knowledge of the correct and effective use of English, including grammar, spelling, and punctuation,
  • Ability to work under stressful conditions, 
  • Ability to work well under pressure with minimal supervision at times, 
  • Ability to work with personal computer and utilize a variety of software applications, including office software systems and EHR system, 
  • Ability to work outside normal business hours and on weekends as needed,
  • Skill in interpersonal relations and customer service,
  • Skill in organization and time management,
  • Skill in the use of computers and job-related software programs,
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral and written communication.
  • Skill in problem-solving and conflict resolution.

Work Environment/Physical Demands:

The environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices, meeting and training rooms, requiring use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals. The work area is adequately lighted, heated, and ventilated.

Supervisory and Management Responsibility:

This position has no supervisory responsibility or authority.

Minimum Qualifications:

Required:

  • High school diploma or equivalent.
  • At least one (1) year related experience performing similar duties in a clinic setting.
  • Full COVID-19 vaccination required unless a documented medical or religious exemption is approved.
  • Possession or ability to readily obtain a valid driver’s license issued by the State of Alaska with a clean driving record.
  • Must successfully pass a criminal and background check.

Preferred: 

  • Secondary education experience in public health administration, psychology, or another related field.
  • Case management certification and/or training.
  • Experience in working with the Alaska Native/Native American population.
  • Experience working within the Alaska Tribal Health System and/or at a federally recognized tribal organization.
  • Two (2) or more years of experience working in public health.
