Job Description:
JOB DESCRIPTION
Job Title: Dispatcher – Lake Charles, La.
Department / Division: Operations Department
Reports To: Operations Manager
FLSA Status: Full Time, Non-Exempt, Hourly
JOB SUMMARY:
Dispatcher (AM, mid-day, and PM – as applicable) is responsible for the assignment and scheduling of Wynne Transportation Operators (Operators) including the distribution of all necessary paperwork for proper completion of assignments. The Dispatcher will maintain an up-to-date roster of all Operators (FT/PT and employed not working) including current addresses, telephone numbers, and preferred contact information. They are responsible for the coordination of motorcoach / bus cleaning and scheduled maintenance with the Maintenance Department. Dispatcher must maintain, and file all associated documentation and generate all required reports – daily, weekly, and monthly.

ESSENTIAL JOB FUNCTIONS:
  • Main point of contact for all operators
  • Make it easy for operators to perform their duties (all aspects)
  • Responsible for the assignment, scheduling, and notification of operators for charter, tour transportation, or bus transportation
  • Ask operators “what can we do to make their jobs easier?”
  • Communicate with the Sales Department, regarding customer requests, special requests, review itineraries, farm-outs, schedule changes, and special instructions
  • Communicate routing information to customer
  • Schedule coach/bus cleaning to correspond with dispatch requirements
  • Communicate with the bus wash crew regarding scheduling and any special instructions
  • Coordinate with Maintenance Department scheduling of repairs, preventative maintenance, and emergency on call requirements
  • Maintain full and part time Operators lists ensuring up-to-date contact information
  • Dispatch Operators by providing necessary manifests and other information for proper completion of assignments
  • Must be able to communicate by telephone, text, email and in person in clear fluent professional English in a courteous, friendly, and professional manner with customers, guests, co-workers, and other persons
  • Respond to calls, texts, or other operator inquiries, provide assistance, directions, and information to ensure safe and timely route operation. Safety will prevail in all situations
  • Maintain familiarity with all routes currently being offered - communicate information to customer as applicable
  • High level of record keeping of personnel absence, tardiness, disciplinary write-ups, accident discussions and report problems to the next level of management
  • Strong customer service skills and willingness to deal with the public
  • Must be dependable, have a good attitude and good organizational skills
  • Keep an open mind and willingness to review and offer suggestions on improving our current methods and techniques
  • Shared responsibility for on-call after-hours phone
  • Performs additional duties and assignments as directed by management regarding the dispatching of Operators and equipment, including involvement in the rotation of providing after-hours operation and customer support via cell phone and on-line computer access

  • Possess the skills to handle logistical challenges relative to personnel and equipment
  • Possess knowledge of local, state, and federal laws related to Motorcoach Operators including Federal Motor Carrier Safety Rules
  • Possess skills in maximizing his or her potential to promote productivity and positive morale
  • Possess computer skills to meet job requirements
  • A solid understanding and respect for the differences of roles between management, supervisory and customer facing personnel
  • Ability to interface with all Motorcoach Operators as well as various positions throughout the organization
  • Knowledgeable about the Business entity’s relationship with clients and other business-related entities
  • Ability to command the respect of his/her peers within the organization
  • Visible in the community and capable of communicating him/herself in a manner that generates respect and understanding for Wynne Transportation
  • A person possessing those traits of honesty, integrity, creativity, and flexibility that are essential to the position
JOB QUALIFICATIONS AND SKILLS:
To perform this job successfully, an individual must be able to perform each essential function satisfactorily.   • Knowledge of Federal Motor Carrier Safety Administration (FMCSA) rules and regulations
  • Knowledge and use of computers and software, including experience with Microsoft Office Suite, emails, and Coach Manager
  • Strong customer service skills and ability to deal with the public
  • Must be dependable, have a good attitude and good organizational skills
  • An open mind and willingness to review and offer suggestions on improving our current reporting methods and techniques
  • Assist with special reporting, as it relates to the dispatching of personnel and equipment, as may be needed by management or the customer
  • Excellent/professional written and oral communications skills required
EDUCATION AND/OR EXPERIENCE:
  • College graduate preferred, however, High School/GED with three (3) years’ work experience is acceptable.
  • Trained dispatch education and one-year related experience and/or training, preferred.
PHYSICAL DEMANDS / WORK ENVIRONMENT:
Environment: Work is performed primarily in ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.

Position may require walking primarily on a level surface for periodic times throughout the day.
Reaching above shoulder height, below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques required. Position may include lifting, up to 25 pounds, for files and computer printouts on occasion. Vision: See in the normal visual range with or without correction.
Hearing:Hear in the normal audio range with or without correction.
