General Summary: A non-exempt, administrative position responsible for all direct operational activity within the front office for the clinical practice and in accordance with broad operating systems and standards.

Essential Job Responsibilities:
1. Manages daily batches and prepares/reconciles Time of Summary report for deposit.
2. Manages physician's schedules for patient hours.
3. Opens and distributes US/interoffice mail and faxes.
4. Maintains forms and correspondence contacts for physicians and office staff.
5. Contacts all administrative-related vendors and service departments for regular and as needed maintenance.
6. Processes medical record requests that require invoicing.
7. Troubleshoots all scheduling, and rescheduling issues.
8. Schedules patients and obtains referral authorizations as needed.
9. Check in and check out duties as needed; reconciles end of day to ensure all patients have been checked out.
10. Provides EMR access to residents and students.
11. Assists with department specific EMR and operational training and guidance.
12. Addresses and directs any operational errors to the appropriate person as they occur.
13. Oversees and/or assists with the pre-visit planning process.
14. Manages the EMR workflow dashboards, communicator campaigns and document management, including departmental and admin staff buckets.
15. Obtains and distributes front office metrics and relevant reports.
16. Ensures that office space, supplies, equipment and assistance are provided and maintained appropriately for front office staff; orders all office supplies.
17. Ensures provisions of safe, high-quality patient care by the front office staff.
18. Other duties as assigned, including cross training as required to meet the non-clinical needs of the departments.

Education/Certifications: High school diploma or equivalent.

Experience: 3 years' experience in customer service/reception and or administrative responsibilities, preferably in a health care environment.
