Job Title: Spa and Wellness Concierge

Department: Spa and Wellness

Location: WorldSprings at Grandscape

Position Type: Full or Part Time Position

Reports To: Spa and Wellness Director

Position Overview:

The Spa and Wellness Concierge are responsible for ensuring all guests are scheduled accurately and receive their services in a timely and professional manner. The Spa and Wellness Concierge must embody WorldSprings core values and reflect them through their interactions and behaviors. Spa Concierge must continually work to meet and exceed guest expectations by responding to questions and inquiries, managing the guest onboarding and intake process, ensuring a clean and organized workspace, providing excellent communication and administrative services, supporting the sales process, and representing our brand at the highest level.

Pay commensurate with experience.


Key Responsibilities:

  • Greet and welcome guests in a friendly and professional manner.
  • Escort and provide tours to the guests around the Spa and Sanctuary.
  • Pamper and serve the guest in a concierge type manner before and after their treatments by providing instructions, education or assisting with any needs.
  • Restock towels, toiletries and other supplies needed in the Spa and Wellness facility.
  • Follow proper hygiene and safety protocols to ensure a safe and comfortable experience.
  • Knowledge of Spa and Wellness offerings to provide accurate information about spa services, packages and promotions.
  • Schedule Guest Services; assist with inquiries and filling openings in schedule, rescheduling, and check-in process.
  • Address guest concerns in a timely and professional manner.
  • Confirm guest appointments and procedures, making sure the scheduled treatments are accurate and booked in a suitable time frame; review all health and Spa policies with guests.
  • Use initiative when dealing with guests who have contraindications to find suitable alternatives.
  • Perform general administrative duties, ensuring required information is accurately recorded, maintained, updated and communicated.
  • Gather accurate guest information and ensure the completion of all necessary forms.
  • Help guests navigate our website to purchase spa and wellness offerings.
  • Process payments, provide invoices and receipts, and process gift cards accurately ensuring required discounts, and special offers are applied accordingly.
  • Act as a liaison between guests and spa staff, relaying special requests or medical information as necessary.
  • Answering, directing incoming calls, taking messages, and assisting guests.
  • Respond to voicemail and email inquiries in a timely manner.
  • Manage marketing and guest referral generated leads.
  • Forwarding sensitive information or personalized inquiries to correct personnel.
  • Be well versed in property policies and procedures to be able to inform Guests with specific inquiries.
  • Knowledge of offerings throughout the property to thoroughly educate and assist guests.
  • Maintain retail environment by organizing and replenishing products.
  • Keep the reception area and restrooms clean, organized, and well-stocked with supplies and applicable marketing collateral.
  • Assist providers in treatment room turnover and prepping for services.
  • Ensure required opening and closing procedures, as well as daily routines are performed to satisfaction and all daily checklists are completed.
  • Drive sales and achieve sales targets for promotions, services, and retail.
  • Attend all meetings, seminars and trainings as directed.
  • Support the vision and uphold the core values and mission of the company.
  • All other duties as directed and assigned by Director of Spa and Wellness.

Attributes or Requirements:

  • Ability to work weekends, weeknights, and holidays.
  • Excellent interpersonal skills and customer service orientation
  • Possess a thorough knowledge of spa services.
  • Detail oriented and organized.
  • Standing for extended periods of time.
  • Adaptive, flexible and able to multi-task.
  • Positive attitude and team orientation.
  • Ability to lift at least 30 lbs.
  • Continual use of manual dexterity, gross motor skills, bi-manual dexterity and fine motor skills.


Qualifications:

  • High school diploma or equivalent; Previous sales, administrative / receptionist experience helpful.
  • Proficiency in using office software and equipment.
  • Multilingual skills would be beneficial.
