Help fulfill World Relief Memphis' mission to provide vital services, build just and welcoming communities and bring people together through supporting the coordination and tracking of in-kind goods while ensuring these resources positively impact program participants, volunteers and World Relief. The In-Kind Goods Specialist is primarily responsible for on-site and warehouse inventory management systems, tracking and recording in kind goods within the CRM, Dynamics, ensuring the efficient and coordinated distribution of In-Kind goods with staff to approved clients and programs, and coordinating in-kind drives to meet projected material needs of clients. 

Compensation: $19-$21 per hour

Role & Responsibilities

  • In Kind Goods Management and Inventory Tracking:
  • Maintain accurate and detailed records of all incoming and outgoing items using tracking software, ensuring an accurate and real-time inventory of resources in coordination with the Resource Specialist and Housing and Resource Manager
  • Ensure all in-kind goods receipts are accurately and timely entered into Dynamics and assigned to proper grants to meet multiple WRM program goals on a quarterly and annual basis.
  • Track outgoing inventory items and assign those items to Client records in Dynamics to ensure grant goals are met.
  • Ensure program goals are on pace on at least a monthly basis by maintaining and owning the management of the In-Kind Goods Database within Dynamics, with a focus on budget relief and grant requirements
  • Maintain and ensure on-site resource room and warehouse are organized and tidy Support grants’ in-kind tracking and reporting deadlines
  • Assist with grants and reports for funding partners and in-kind deliverables on a monthly, quarterly and annual reports
  • Support the development of in-kind donation impact reports
  • Ensure accurate gift processing standards, timely and accurate entry and acknowledgement and integrity of data
  • Material Needs Procurement and Housing Prep Anticipate, plan for and order Material Needs for upcoming arrivals in advance to ensure materials arrive in time for apartment setup and in accordance with the Cooperative Agreement
  • Collaborate with Resource Specialist to ensure that Material Needs orders are complete and accurate according to the needs of each case
  • Assist Resources specialist with setting up new arrivals apartments/homes as needed
  • Assist Resource Specialist as needed to support donation pick-ups for larger and/or heavier items. Collaboration and Communication
  • Maintain regular and timely communication with operations, program and community engagement staff and volunteers essential to supporting and welcoming new arrivals – including but not limited to Resettlement Specialists, Volunteer Coordinators, Good Neighbor Team Coordinator, Volunteer and Church Partnerships Managers, Finance Specialist, Resource Specialist, Housing and Resource Manager and Resettlement Manager Work closely with the Volunteer Services team to coordinate the appropriate number of volunteers needed for sorting, inventory, loading/unloading, securely storing donations and facilitating distribution of items Attend and participate in Initial
  • Welcome Services team and Integration Department team meetings to discuss upcoming arrivals, identify material needs, procurement and distribution Actively participate and support cross-departmental team planning, communication and meetings of In-Kind Goods and Services Team
  • Work with leadership and development teams in identifying program needs and support in-kind opportunities to address those priority needs, including grants, donation drives or campaigns, events and others.
  • Coordinate with Housing & Resource Manager and Resource Specialist to ensure all housing and material needs are met for WRM clients.
  • Support other programs and departments with donations questions and needs.
  • Oversee the effective and efficient of volunteers needed to process and maintain in kind goods inventory
  • Perform other duties and as assigned by Housing and Resource Manager Strong computer skills with knowledge of Microsoft suite
  • Experience with CRM database and eagerness to learn Microsoft’s Dynamics platform
  • Ability to work effectively and sensitively with people of diverse cultural and religious backgrounds
  • Time management and prioritizations skills; knows how to organize individual and team schedule to complete the most pressing tasks on time
  • Receptive to receiving and providing feedback Adaptive and flexible; willingness to handle constantly changing situations
