Job Description:


ABOUT THE POSITION

To assist with the registration process, organize one-off events and support day-to-day tasks for the World Credit Union Conference. This is a limited term position (temporary) expected to end by July 29, 2022

WHAT YOU WILL DO

  • Coordinate two to three events including researching event venues, communicating with vendors, and organizing logistics.
  • Issue invoices/purchase orders/tax receipts as necessary to attendees.
  • Monitor weekly housing reports and track potential housing numbers to ensure enough rooms are considered.
  • Attend all team meetings to prepare meeting minutes and notes.
  • Assist in proofing all conference copy.
  • Perform multifaceted general office support.
  • Receive and process registration requests for the World Credit Union Conference as needed.
  • Write request for proposals, event plans, and plan summaries as needed.
  • Maintain communication and relationships with conference attendees and fulfill all information requests in a professional, timely manner.
  • Write and provide visa letters for conference participants.
  • Assist in coordinating pre-conference logistics such as preparing registration packet materials, name badges, activity confirmations "stuffing week," etc.
  • Support the scheduling of speaker phone calls.
  • Join meetings and calls with staff and potential vendors.
  • Assist in planning, scheduling and coordination of various services such as shipping, supply orders, sponsorship fulfillment, etc. for the World Credit Union Conference.
  • Monitor/engage conference attendees through all social media platforms
  • Track day tour attendance and policies
  • Create and update survey templates
  • Monitor and track incoming wire transfers/check payments received
  • Create signage to be displayed throughout conference
  • Create and maintain weekly reporting systems, specifically to track weekly registration numbers and statistics and provide regular updates.
Required Experience:


WHAT WE REQUIRE

  • Bachelor’s degree preferred.
  • Must possess good organization skills and be detail-oriented; ability to manage priorities of various duties/tasks with multiple stakeholders/internal clients; Must be able to work in a fast-paced environment with task goals continuously changing
  • Fluency in English (spoken and written) is required and a second language strongly preferred with excellent writing, editing and proofreading skills.
  • Basic mathematical skills required, including ability to add, subtract, multiply, divide and calculate figures such as percentages.
  • Proficiency in computer based systems including databases, Microsoft Office products (Word, Excel, Access, PowerPoint, Outlook). Proficiency with Cvent Event Management software preferred.
  • Willingness and ability to travel up to eight (8) days per year including both domestically and internationally
  • Legal right to work in the US on a regular, full-time basis without the need of sponsorship for a visa
