As a front desk office administrator, you will play a crucial role in supporting the efficient operations of our occupational health clinic, ensuring the seamless delivery of patient care in-clinic. You will be responsible for a variety of administrative and clinical tasks, working closely with healthcare professionals and patients to maintain a high standard of care and service.

Essential Job Duties:

  • Administrative Support: Perform various administrative duties such as managing patient records, scheduling appointments, coordinating virtual visits, processing paperwork, and maintaining electronic medical records (EMR) with meticulous accuracy.
  • Front office Duties: Answer Phones, greeting patients, checking patients in, and scanning any paperwork they submit.
  • Assistance in Medical Billing. Auditing, and scanning in medical documentation.
  • Maintaining the incoming clinic email and faxes.
  • Assisting in maintaining office inventory.
  • Assisting in referral coordination; Maintain accurate and up-to-date records of all referrals. Communicate with relevant parties to gather necessary information and updates on pending referrals. Ensure that all necessary documentation and information are included with each referral.
  • Communication: Maintain open communication with healthcare professionals, patients, and team members to relay vital information and ensure effective care coordination.
  • Compliance: Adhere to all applicable regulations, policies, and procedures to maintain compliance with relevant healthcare standards.
  • Other duties as assigned.

Education, Skills, and Qualifications:

  • High school diploma or GED equivalent is required.
  • Knowledge of medical terminology, patient care procedures, and infection control protocols.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and multitasking abilities.
  • Compassionate and patient-focused approach to care.
  • Ability to work both independently and collaboratively as part of a team.
  • Strong technical working knowledge of EHRs, MS Office/365 (Outlook, Excel, Word, PowerPoint, Visio, Teams, etc.), and Project Management Software (Monday.com, Asana, etc.)

Physical Demands:

The Front Desk Office Administrator must be physically capable of standing, walking, and moving for extended periods, and able to lift and carry medical equipment and supplies, typically up to 50 pounds. The role requires manual dexterity for performing clinical tasks, such as prepping charts, and scanning documents. Additionally, the individual should possess visual and auditory acuity to accurately interpret patient information. Flexibility and adaptability in meeting the physical demands of the job are paramount for ensuring effective support in the clinic.
