Summary Description
Under the direction of the Director of Member Staff, the Member Staff Coordinator is responsible for coordinating and scheduling all Woodside Member Staff - Front Desk Agents, Pool Desk Agents (seasonal), Club Monitors, Childcare and Lifeguard (seasonal) staff. The Member Staff Coordinator also helps ensure efficient and effective day-to-day operations and administratively supports the Director of Member Staff.
Duties / Responsibilities
• Staffs and organizes the bi-weekly or monthly operational schedules for the Front Desk, Pool Desk (seasonal), Club Monitors, Childcare and Lifeguard (seasonal) teams
• Schedules Front Desk Agents, Pool Desk Agents (seasonal), Club Monitors, Childcare and Lifeguard (seasonal) staff according to budget/business needs
• Responds timely to all employee team schedule requests or correspondence whether by email and/or phone
• Provides sub coverage when coverage in primary operational shifts is not filled
• When necessary, will work with Director of Member Staff and other appropriate Department Heads regarding any additional staffing needs for any special events, home swim meets, etc.
• Maintains an accurate record of schedules, verifies time punches entries, requests for time offs and properly manages actual time worked against scheduling needs of the business
• Works with Director to review shift adjustments, time punches, etc. to ensure accurate payroll report on a bi-weekly basis prior to submission to HR
• Works with the Director of Member Staff to determine hiring needs for the various teams. Submits new job request form to HR and once hired, coordinates initial new hire onboarding activities with HR/Director of Member Staff
• Works with the staff and HR to arrange staff uniforms for department employees and keeps HR informed of additional employee uniforms that must be set up for payroll deduction through HR
• Understands Front Desk, Pool Desk (seasonal), Club Monitor, Childcare, Lifeguard (seasonal) duties and responsibilities & processes and procedures (check-in, various waivers, guests, etc.) and membership agreements (agreement terms, dues structures, etc.)
• Understands member billing (cycles, statements, appropriate fees, etc.) and is able to assist members with their MyWoodside accounts (create account, view statements, enroll/unenroll for classes, etc.), if necessary
• Supports the Director of Member Staff by maintaining up to date Department Manual documentation regarding position duties & responsibilities, policies and procedures, etc. for Front Desk Agents, Pool Desk Agents (seasonal), Club Monitors, Childcare and Lifeguard (seasonal) staff
• Approves member guest(s) requests, records on the log and redeems and/or ensure payment of guest(s).
• Relays to all member correspondence or complaints whether in-person or by email timely and effectively to the Director and handles member incidents/communications with guidance from Director
• Maintains cleanliness and operational efficiencies throughout all the desks, Childcare and Pool House
• Acts as MOD when the Director of Member Staff is unavailable, on PTO, etc., supports the various teams and operations, as needed
• Complies with Club’s employee handbook manual, departmental policies and procedures and with all applicable federal and state employment laws
• Participates and fulfills all requirements set forth in the Continuing Education Curriculum (Woodside University) Program

• Completes all other duties as directed/assigned

Qualifications


Job Standards
Any combination of education and experience providing the required skill and knowledge is qualifying. Typical qualifications would be equivalent to:
Education/Experience:
• High School Diploma or GED is required
• Minimum of 1-3 years’ experience in fitness/club environment required
Skills:
• Fitness-oriented
• Strong organizational skills and attentive to detail
• Motivated, able to remain calm under pressure
• Computer literate – proficient in MS Office
• Excellent communication skills, both interpersonal and written
• Excellent customer service skills and demonstrates creativity and diplomacy
• Ability to reason and problem solve without precedent
• Confidentiality
Knowledge:
• Strong English grammar and writing
• Fitness organization operational knowledge
Licenses:
• Valid Driver’s License - or reliable transportation to/from work
• CPR and/or First Aid/AED Training
Special Requirements:
• Excellent working relations with peers
• Regular and predictable attendance is required
• Ability to move 20 pounds on a regular basis
• Visual acuity for computer work
• Ability to communicate well both verbally and in written form
Working Conditions:
• Ability to move about the property and community in variety of weather including extreme heat and cold
