The Event Coordinator is responsible for ensuring an exceptional member and guest experience in the club for all events. The Event Coordinator is the first point of contact for members and therefore represents Woodhill Country Club. This position is responsible for interacting with members, vendors, and a variety of staff to facilitate and ensure a high-quality event experience. The Event Coordinator works closely with the Director of Catering, Assistant General Manager, and Culinary Team.

Requirements

Expected Hours of Work: Monday-Friday 10am-6pm. This is a year-round position. 

Qualifications:

Required Education and Experience

  • Proficiency in Microsoft 365 and excellent computer/technology skills
  • Excellent organizational skills with a high level of attention to detail.
  • Must have an exceptional eye for detail.
  • Excellent interpersonal and communication skills.
  • Demonstrated ability to coordinate and direct a team of staff in a pro-active and positive manner.

Preferred Education and Experience

  • Knowledge of/and or experience in the private country club industry’s event and food and beverage operations preferred.

Essential Job Functions:

  • Responsible for the timely response to all catering and banquet inquiries through emails and phone calls. Schedule calls/visits to ass the needs of member for catering services.
  • Responsible for blockers in ForeTees
  • Create detailed BEOS and provide daily task lists and room diagrams for banquet set up team to complete.
  • Create and distribute event signage, including food labels, table seating arrangements, floorplans, etc.
  • Provide timely and accurate clerical, administrative and event planning support on a daily basis to the Director of Catering, Assistant General Manager, and Culinary Team.
  • Facilitate tours, member meetings, and menu taskings as needed and/or as directed.
  • Manage all details for events, to include room rentals, parking, room set-up, audio/visual, procuring of decorations, room diagrams, entertainment, and other special requests.

  • Planning and Organizing – Establishing courses of action for self and others to ensure that work is completed efficiently. 

Physical Demands:

  • Must be able to reach, bend, stoop, crouch, twist and lift up to 25 lbs.
  • Must be able to sit for prolonged periods of time.

Work Environment:

  • Work is normally performed in a general inside environment with appropriate heating and cooling and is not subject to significant occupational or environmental hazards other than those normally associated with general public.
