WOLCOTT REAL PROPERTY is Hiring a Real Estate Operations Associate Near Chicago, IL

Position Summary

The Real Estate Operations Associate will play a pivotal role in supporting the operational activities of the real estate investment team. This position requires strong organizational skills, attention to detail, and the ability to effectively multitask in a fast-paced environment. The Operations Associate will assist in managing various administrative tasks related to entity management, real estate tax appeals, litigation support, real estate closings, financing, investor communications, and accounting support. This position offers an exciting opportunity to work closely with our team and contribute to the success of our investment projects.

Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:

  • Entity Management: Maintain accurate records for all entities, including annual reports, service of process, and invoices associated with CSC (Corporation Service Company).
  • Real Estate Tax Appeals: Manage appeal documents and maintain a tracking sheet to ensure timely and accurate processing.
  • Litigation Support: Assist with correspondence and case management for litigation cases, maintaining a tracking sheet to monitor progress.
  • Real Estate Closings: Calendar critical dates for real estate closings and assist with document preparation and closing processes as needed.
  • Real Estate Loans and Financing: Prepare and review loan documents and applications. Update the Master Financing Sheet with maturity dates and inform partners of upcoming maturities. Assist in facilitating investor communications using Agora Software.
  • Financial Statements Requests: Respond to annual financial statements requests from lenders, coordinating with the Property Management team, as necessary.
  • Financial Reporting: File financial summaries and operating statements from Property Management.
  • Energy Benchmarking Reports: Prepare energy benchmarking reports for lenders and the City of Chicago in compliance with regulatory requirements.
  • Accounting Support: Assist the Accounting Department with reviewing checks for signature and distribution, ensuring accuracy and timeliness.
  • Maintain the Deal Calendar
  • Attendance: Timely and regular attendance is an essential job requirement of every position and is an expectation of performance.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Bachelor's degree in business administration, finance, real estate, or related field preferred.
  • At least two (2) years of experience in real estate operations, real estate closings/title, property management, or related administrative roles is highly desirable.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize workload effectively.
  • Excellent attention to detail and accuracy in data management and record-keeping.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, Teams, Power Point, etc.), the ability to learn new software quickly.
  • Strong communication skills, both verbal and written.
  • Ability to work collaboratively within a team environment and interact professionally with internal and external stakeholders.
  • Knowledge of real estate finance, legal processes, and regulatory compliance is a plus.
