Windell Investments, Inc. is Hiring a Commercial Property Coordinator Near Irvine, CA

We are seeking a dedicated and detail-oriented Commercial Property Coordinator to join our Property Management team. Reporting directly to the Property Manager, the Property Coordinator will play a crucial role in ensuring the efficient operation and management of our commercial properties. The ideal candidate will have excellent organizational skills, an attention to detail, and the ability to collaborate effectively with others.

Responsibilities include but are not limited to:

  • Provide day-to-day phone and email support; respond to tenant issues and requests in an efficient, courteous and timely manner.
  • Maintain accurate property maintenance records, and coordinate maintenance work orders with building personnel.
  • Manage daily scheduling of building personnel and vendors for repairs, preventative maintenance, building and tenant improvements.
  • Process invoices, work orders, and assist team in collection of outstanding receivables.
  • Compose and issue notifications to tenants.
  • Maintain janitorial supplies inventory and orders for each property.
  • Track and process monthly utility billbacks for tenants.
  • Solicit bids from vendors under the direction of the Property Manager. Receive and provide initial review and analysis of bids following up with vendor for accuracy if necessary.
  • Open vendor Purchase Orders of approved bids and push through the appropriate work flow on the maintenance system.
  • Assist the Property Manager with aspects of annual budgets, reconciliations and in-house reports.
  • Assist team to ensure tenant profile forms, contact information, and insurance requirements for tenants and vendors remain current and are filed correctly.
  • Open, sort and distribute incoming correspondence including email, mail, and packages.
  • Participate in rotating after-hours call list to respond to emergency calls as needed.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

Position Requirements:

  • Must be highly organized, have an attention to detail, and possess the ability to prioritize and multitask.
  • Excellent written and verbal communication skills, being comfortable communicating with emails and phone in a professional manner.
  • Ability to draft and format professional reports, notices and emails with accuracy.
  • Ability to take initiative and be self-motivated, adept at following up with assigned tasks, and can shift gears comfortably.
  • Proficiency in Microsoft Excel, Word and Outlook.
  • Flexibility to travel to properties, as needed.

Education and Experience:

  • High school diploma or GED required; Bachelor’s degree preferred
  • 1-3 years of related experience in commercial property management preferred
  • Basic accounting knowledge preferred, but not required
  • Experience with Yardi Maintenance Systems or similar system is preferred
