Williams College is Hiring an Administrative Coordinator Near Williamstown, MA

Williams College is pleased to announce an opening for an Administrative Coordinator in our Mathematics and Statistics Departments. As the main contact for the Mathematics and Statistics Departments, you will oversee a wide variety of activities required for the department to run smoothly. Under the limited supervision of the Department Chair, you will not only manage the administrative and financial work needed to keep the office functioning, but also many other tasks to ensure a coordinated work effort among various college departments and outside contacts.

The Administrative Coordinator will support the mission of the college to provide a nurturing educational environment. Responsibilities

The Administrative Coordinator will be responsible for supporting 23 faculty members, including a rotating chair. To accomplish this, the person in this position will be responsible for tasks including, but not limited to:

  • Reception and office maintenance by serving as the point of contact for Mathematics and Statistics.
  • Communication by preparing departmental publications, reports, and web page updates.
  • Maintaining and analyzing department budgets and other faculty accounts as assigned, processing purchase card reconciliation, and completing department expense reports.
  • Assisting in the planning, coordinating and organizing of special events and conferences, including travel arrangements for outside speakers.
  • Supporting logistics for the SMALL undergraduate research program and other summer research students, and coordinates the hiring of teaching assistants for the department.
Qualifications
  • At least two years of relevant administrative experience, or a combination of education and experience
  • Excellent organizational skills with an ability to prioritize, organize, and execute multiple tasks independently
  • Excellent oral and written communication skills, including email correspondence and proofreading
  • Ability to maintain confidentiality in regards to personnel and student information
  • Proficiency with or an ability to learn technology, including but not limited to Microsoft Suite, Google Suite, WordPress, and knowledge of bookkeeping
  • Strong interpersonal skills; the ability to work collaboratively with broadly diverse groups of students, faculty and staff in a courteous and professional manner

Application review will begin on April 25, 2023, and will continue until the position is filled. Pay range is from $20 to $24 per hour, commensurate with experience. Job band 19.
