Job Description

Summary The Legal Practice Coordinator - Immigration supports the practice by managing physical paper and electronic government submissions, as well as physical case files and the online "E-Immigration (E-IMM)" system. The Coordinator works closely with clients and their employees to process incoming and outgoing records. This position has billable expectations. Job Duties The following are essential job duties and responsibilities of the Legal Practice Coordinator - Immigration. This list is not exhaustive, and other duties may be assigned as necessary. Immigration Petition Assembly * Verifies and obtains filing fee checks and prepares mailings. * Obtains and copies evidence items from physical case file/E-IMM, and prepares exhibits in order, annotating as required. * Completes case submission checklists related to administrative review. * Assembles all required case submission copies ensuring accuracy. Utilizes Office Services support as appropriate. * Digitizes all case submissions. * Processes client and other duplicate case copies. E-Immigration Case System * Responsible for the administration of the system and ensuring all information is accurately and timely entered. Creates standards and best practices to ensure data consistency and accuracy. * Utilizes features in system to ensure milestones are known and deadlines are met. * Implements and manages client (employer) and employee access to E-IMM. * Interfaces with new clients/employees to ensure all required information is entered into system and appropriate documentation provided. Follows up with clients when necessary. * Provides guidance for clients on system. * Calendars document reminders for expiring passports, I-94s, etc. with E-IMM. * Inputs data into E-IMM, including status expiration dates. Keeps the calendaring system updated. * Updates new information/records in client/employee E-IMM profiles and in physical case files. * Regularly runs/formats E-IMM tracking reports for deadlines. General Administration * Maintains files ensuring information is saved to document management system and in appropriate physical file folder. Closes files as appropriate and transfers offsite. * Processes incoming government notices and uploads to/updates E-IMM accordingly. * Provides document production services including word processing, scanning, PDF manipulation. Utilizes Office Services support as appropriate. * Understands requirements of New Business Intake (NBI) and completes process accurately and promptly. * · Handles client billing, including electronic billing. Manages the process to ensure timely completion. Able to extract appropriate billing information as requested. * · Researches case status and processing times tracking through government web portals; enters into E-IMM and calendars case milestones. Requirements Education: Bachelor's degree Experience: 3 years of legal administrative experience, immigration/case management system knowledge preferred Knowledge/Skills and Abilities: * Advanced proficiency with Microsoft Office Suite (WORD, Excel, PowerPoint). Ability to use PDF technology such as Nuance or Adobe Acrobat. * Excellent knowledge of grammar, spelling, and punctuation. * Legal writing skills, knowledge of legal terminology. * Knowledge of immigration filing requirements and USCIS/Dept. of Labor/Dept. of State websites. * Knowledge of office equipment such as multi-function devices, telephones, facsimiles, etc. * Strong oral and written communication skills. * Strong interpersonal skills to communicate with a diverse group of attorneys, staff, and clients. * Strong customer service orientation. * Ability to be in the office on a daily basis, working a full day. * Notary Public preferred. Essential Physical/Mental Demands * Ability to sit or stand for extended periods of time and to operate office equipment, e.g., computers. * Handle material and supplies up to 20 lbs. of weight.
