Position Summary

As a Program Coordinator at Whitworth University, you'll be at the heart of supporting the Office of Church Engagement (OCE) and the Weyerhaeuser Center for Faith and Learning (WEY). Your role encompasses a diverse array of responsibilities, including administrative support, general office assistance, specialized functions, and fiscal support. You'll collaborate closely with directors, staff, and external stakeholders to ensure the smooth execution of programs, events, and services aimed at fostering community engagement and advancing the university's mission.

Core Responsibilities

Administrative Support | 30%

  • Provide administrative support services for all current programs and events.
  • Utilize all necessary internal university systems, in coordination with other offices, to provide necessary support for the development, delivery, and expansion of programs.
  • Assist with planning, coordination, and implementation of departmental, program lectures and activities; book travel, process contracts, maintain visit itineraries, and advertise events.
  • Support events and speakers, including coordinating campus visits and travel arrangements.
  • Schedule meetings and maintain calendars for the OCE/WEY in general and the Directors.
  • Work collaboratively with OCE/WEY staff in planning, development, implementation, and delivery of events, retreats, conferences, new programs, and services in support of ministry to and with churches and other ministry partners.
General Office Support | 25%
  • Coordinate university support services.
  • Coordinate arrangements for departmental needs.
  • Provide technological support using Microsoft applications.
  • Schedule meetings and maintain calendars for the OCE/WEY in general and the Directors
  • Provide logistical support for other campus duties and department projects.
  • Create and maintain physical and/or electronic files, archives, and reports for the departments, as needed.
  • Coordinate service of building-specific facilities and administer requests for facilities and other university support services.
  • Maintain office supplies for department work rooms, including printer maintenance as needed.
Specialized Functions | 20%
  • Participate in strategic planning for upcoming events, reports, and general operations.
  • Collaborate closely with the Directors and designated personnel within the Institutional Advancement Office to ensure timely and effective communication with external stakeholders. This includes managing communications for OCE/WEY events and programs aimed at soliciting donations, maintaining donor relationships, and acknowledging donor contributions
  • Maintain general OCE/WEY communications including monthly newsletters and social media updates.
  • Coordinate all website updates.
Fiscal Support | 15%
  • Work collaboratively with the OCE Finance Coordinator on grant management.
  • Assist with monitoring, tracking, and forecasting departmental and program budgets; advise on purchasing decisions.
  • Process check requests, purchase orders, and reimbursements; complete monthly purchasing card reports as needed.
Other | 10%
  • Other duties as assigned.
  • Participate in department events and special projects.

Preferred Qualifications
  • University experience.
  • 3 or more years of related work experience.

Position Details

Schedule
10 months | 30 hours per week | .63 FTE (considered full time for benefits)
This position reports to both the Director of the Office of Church Engagement and the Director of the Weyerhaeuser Center for Faith and Learning.
