Description

Come join our team at White Oak Management Inc.! Our company is seeking to replace our Corporate Medical Records Assistant at our home office in Spartanburg, SC. This position is a Full-time position that would be needed Monday-Friday, 8:30am-4:30pm. This position reports directly to our Corporate Vice President of Finance. 

Excellent compensation and benefits package available. 

Education and Qualifications required:

  • High school diploma.
  • Proficiency in Medical Terminology required.
  • Proficiency in Microsoft Office Suite, to include Excel, Outlook, and Word.
  • Ability to multi-task in a fast-paced professional corporate office team environment required.
  • Ability to speak, converse and write in a clear, logical, and grammatical manner in formal and informal situations.

MAJOR DUTIES AND RESPONSIBILITIES:

1. Manage the processing, tracking, and completion of all medical records request for all 16 facilities to include:

  • Monitor and follow up with facilities to obtain medical records in a timely manner to be in compliance of set due dates.
  • Prepare medical records for review by the Corporate Medical Records Consultant.
  • Upon completion of review of prepared medical records process for submission as appropriate by scanning, faxing, secure email or download and mailing.
  • Call outside companies as needed to obtain extension of due dates as needed.
  • Maintain Excel Spreadsheet to track all aspects of completed medical records request.
  • Provide statistics of medical records processed via reports as requested by the Corporate Medical Records Consultant.

2. Back up Receptionist duties during lunch break, days off and other times as needed.

3. Direct guests to locations for meeting and trainings as needed.

4. Maintain confidentiality and security of health information systems and medical records per HIPAA MINIMUM NECESSARY regulations.

5. Attend and assist with all required meetings, trainings, and functions as requested.

6. Perform other duties assigned by the Corporate Medical Records Consultant.

7. Upon request, prepare FedEx packages and arrange pick up if not already scheduled.

8. Assist with “urgent” projects as they arise.
