The Department of Music in Potter College of Arts and Letters is seeking applicants for an Office Coordinator. This is a full-time twelve-month position. Under the supervision of the department chair, this position manages all aspects of the daily operations of a vibrant and diverse university music department. Responsibilities include:

  • Overseeing day-to-day operation of the departmental office and related duties including database management, record keeping, copying/printing, communication, maintaining of office supplies and equipment, and managing student staff.
  • Management of all budget/fiscal aspects of the department including, but not limited to: record keeping, purchasing, personnel, multiple state and foundation accounts, student and faculty travel, guest artists, and student workers. Record-keeping for faculty and student grants and travel.
  • Coordinating hiring process, performance contracts, and payroll for part-time faculty, staff, student workers, and guest artists.
  • Answering phones and coordinating communications within department.
  • Coordinating publicity and promotional efforts, including advertising, social media, and creation of promotional materials.
  • Overseeing the department's busy events calendar.
  • Assisting the department chair and faculty with special projects.
  • Administrative assistance with pre-college programs.

Possible additional duties include:

  • Maintaining departmental/area webpages
  • Assisting with student registration protocols
  • Tracking student recital attendance

Knowledge and Skills Considered Essential for Success:

  • Ability to establish priorities and work independently
  • Organized and detail oriented with the capacity to work in an environment with frequent interruption
  • Excellent written, verbal and interpersonal communication skills, customer service skills, problem solving and decision-making skills, and telephone etiquette
  • Ability to work in a team environment and interact professionally with a wide spectrum of individuals to include faculty, staff, administration, and vendors
  • Ability to concentrate and focus on computer applications for extended periods of time
  • Computer literacy and proficiency to include Microsoft Office Suite
  • Ability to learn and operate multiple software systems
  • Knowledge of modern office equipment such as multi-line phones, fax, copier, printers, etc
  • Ability to perform the duties and responsibilities of this position in a competent manner following the highest standards of professionalism, integrity, accountability, responsibility, cooperation, and customer service
Job Requirements:
  • Two-year post-secondary education, plus 2 years related administrative experience.
  • Proficiency in Microsoft Office and in operation of modern office equipment.
Additional Information:


Salary Range: $16.50-$17.18/hr
