Western EcoSystems Technology, Inc. (WEST), a dynamic medium-size consulting firm with offices across the United States and Canada, is looking for an experienced individual to work as a full-time Project Coordinator supporting our Ecological Modeling Team in the Statistics and Data Science division. The location is flexible, but preference will be for candidates who are located (or who can relocate to) near a WEST office.

The minimum base hourly rate is $18.00, and the maximum is $23.00. Salary may vary based on education, knowledge and experience.

About the role:

The successful candidate will have previous experience supporting a variety of projects from simple to complex. The Project Coordinator will support WEST’s Project Managers (PMs) in the Ecological Modeling and Machine Learning Teams with proposal development and review (RFQ’s), marketing, budgeting, billing, and project-management related tasks. The Project Coordinator will work with external clients and WEST staff to support growth through proposal development and help keep project-related processes running smoothly.

How you’ll make an impact:

  • Help lead advancements in the intersection between technology and natural resources.
  • Support environmentally conscious renewable energy development across North America.
  • Further the scientific understanding of wildlife and natural environments.
  • Develop technical solutions to improve the quality and safety of data collection.

What you’ll do:

  • Assist with writing and submitting proposals, project set-up, schedule coordination, and budget development. Provide information to the legal department and accounting staff for internal set-up requirements.
  • Assist in the coordination of activities, resources, equipment, staff, and dissemination of information.
  • Assist with the monitoring of project progress, data, PM reports and other materials as needed.
  • Provide subcontract management support to Project Managers by creating and maintaining subcontract logs, completing forms, gathering scope of work, following up on process for amendments, and reviewing/coding invoices.
  • Electronic filing and data entry; consistently following WEST’s document management policy/protocol.
  • Support legal staff and PM to follow up on the administrative process for job set-up, invoicing and accounts receivable collections, and prepare monthly progress reports.
  • Assist with production of deliverables: document prep, word processing, formatting and editing of project deliverables, printing and binding, assembly and preparation of presentations and reports including internal team communications.
  • Work with teams in multiple locations in the United States and Canada using company tools for teleconferencing and videoconferencing. Organize conference calls with project team members, track action items and notes, and follow-up on actions as needed.
  • Prepare/coordinate project meetings and travel arrangements.
  • Draft technical memos and reports.
  • Provide notetaking and documentation support for meetings and conference calls upon request.
  • Communicate ideas for improving company and project processes with a positive and constructive attitude.
  • Work with the PM to coordinate issues that the Project Coordinator cannot resolve.
  • Ensure client and staff needs are met throughout the life of each project.
  • Other project related support duties as assigned.

Job Requirements

Qualifications:

  • Minimum of a high school diploma with three years of relevant experience; a bachelor’s degree in natural resources, statistics, management, communications or related field is preferred.
  • Outstanding organizational and prioritization skills including attention to detail, budgeting, and multitasking abilities.
  • Excellent time management, project management, and organizational skills with the ability to work well under time constraints and meet deliverable targets and deadlines for multiple tasks and projects concurrently.
  • Strong interpersonal skills.
  • Effective communication skills: verbal, written, and presentation.
  • Proven capacity to work effectively both independently and in a team-based environment.
  • Ability to follow instructions from managers and accept guidance and constructive criticism.
  • Demonstrated willingness to be flexible and adaptable to changing priorities.
  • Solid working knowledge of Microsoft Office and other project management tools.

Additional Preferred Qualifications:

  • Marketing and/or contract proposal experience, familiarity with technical and scientific writing.
  • Experience working with statistical analyses, data analyses, or data visualization.
  • Demonstrated interest in Wildlife, Conservation, or Ecology.
  • Skills and experience in biological field studies and natural resource management.

After an offer of employment is made, the candidate must successfully pass a pre-employment background check, drug screening, and a DMV records check that meets WEST’s minimum criteria to operate a motor vehicle on behalf of the company. A valid driver’s license will be required.
