The LGBTQ Center at West Virginia University is currently accepting applications for a Program Specialist.

About the Opportunity

Under the supervision of the Director of the LGBTQ Center, this position is responsible for managing the daily administrative activities of the centers, coordinating the logistics, and ensuring successful collaboration with other units on campus. This position will welcome visitors, answer questions, distribute appropriate resources, and make appropriate referrals. In addition, this position will be directly involved in the training and implementation of events/programs, assist with data and reports, and may serve as ex officio representative of the center to other campus committees. This position will work with diverse members of the WVU and broader community, including LGBTQ people, people of color, women, people with disabilities, first generation college goers, and all other people who use the centers. This position requires coverage for up to four days per month for evening and/or weekend programs.

What You'll Do

  • Punctually open and close the center, welcome visitors, answer questions, distribute appropriate resources, provide referrals, and serve as a resource, always setting a warm and supportive tone. Positively greet and receive inquiries in a positive and courteous manner- in person, electronically, and over the phone. Respect confidentiality.
  • Attend to the daily logistics and management of running the centers, identifying needs for maintenance, resources, and ordering administrative supplies.
  • Promptly answer phones, emails, and submit tickets to Facilities, IT, and any other office as needed. Keep track of resources requests, donations of resources, purchase items, process reimbursements, and payments, keeping organized log of transactions, etc. Solicit donations and send thank you notes.
  • Help initiate and provide programming for diverse populations including racial and ethnic minorities, first generation college goers, LGBTQ students, students with disabilities, and people of all genders who visit the center or who collaborate with center projects, including WVU and broader community members.
  • Assist in event/program planning and tabling, including assisting with set up and take down of events and staffing of tables, reserving venues for programs, ordering food/beverages, coordinating transportation, and completing paperwork for payment/reimbursement of speakers and centers' staff. Provide coverage for up to four days per month for evening and/or weekend programs.
  • Promote and advertise events/programs and campaigns, including but not limited to designing and advertising materials, creating registration links, social media outreach, website updates, and Qualtrics surveys. Ensure user friendly access and meet accessibility needs and university protocols and guidelines.
  • Write monthly newsletter. Assist with development of website content. Provide report of all programs and attendance per semester. Assist with data and reports including organizing data and assisting with the writing of reports to administrators.
  • Organize calendars and coordinate travel arrangements. Keep organized calendar of activities, manage calendar for the center staff, organize work schedules of student ambassadors every semester, and manage requests for trainings, programs, and event collaboration.
  • Assist with supervision of student staff.
  • Serve on committees working on improving campus services for those who use the center and act as a liaison between the centers and committees, helping to set the agenda for cooperative programming, in consultation with the directors.
  • Have a particular understanding of the unique needs of faculty, and staff across the personal and professional lifespan. Understand the challenges facing LGBTQ faculty, staff, and students, as well as broader social implications of inequality. Ensure confidentiality and correct pronoun usage.
  • Provide information on the centers' budgets and finances to the director. Collaborate with the director on budget planning, monitoring all expenditures, and keeping the director informed on balances and deadlines. Assist
    the director on grant writing initiatives, approval processes, budget management, etc.
  • Contribute to research and assessment of inequalities and strategize with the directors on approaches to mitigating inequalities on campus and in the community.
  • Other duties as assigned by the director.
Qualifications
  • Master's degree required or an equivalent combination of education and experience.
  • A minimum of six (6) months of experience involving:
    • Working with diverse groups including students, staff, and faculty.
    • Budgets, finance, IT, and social media.
    • Gender· and sexuality studies, Social Work, Women & Gender Studies, Black studies, Latina/o/x studies, disability studies, or
      other diversity-related fields preferred.
  • Ability to welcome diverse students, faculty, staff, and broader community members from Morgantown and the state into the center.
  • Ability to work with diverse populations including all genders, LGBTQ people, racial and ethnic minority people, first- generation college students, people with disabilities, and people's whose intersecting identities include these and other diversities.
  • Ability to understand and collaborate on the design of educational and programming needs of diverse people who use the centers and a willingness to learn more.
  • Good written. verbal, and planning skills.
  • Ability to understand, implement, and continue to learn financial systems including payment and procurement regulations.
  • Ability to supervise undergraduate and graduate student workers.
  • Ability to work with the Director on projects, actively provide input, and provide follow through on
    details
  • Ability to initiate and complete the daily work of the centers and special projects with oversight from the directors.
  • Ability to assist with and initiate technology-based communication and advertising with oversight from the directors.
  • Ability to commute on campus and off campus to attend programs, meetings, etc.
